Client Experience Specialist

Be the Reason Someone Has a Great Day.

At The Kole Group, we know that the first conversation, the first smile, and the first impression matter. Whether someone is calling with a question, walking through our front door, or meeting with one of our advisors, you help set the tone for their entire experience.

We're looking for someone who genuinely enjoys helping people, thrives in a fast-paced environment, and finds satisfaction in keeping everything running smoothly behind the scenes. If you're organized, service-minded, and can stay calm while juggling multiple priorities, you'll play an important role on a team that's committed to making a difference for our clients every day.

What You'll Do

As our Client Experience Specialist, you'll be the face and voice of our organization by:

  • Greeting clients and visitors with warmth, professionalism, and genuine hospitality.
  • Answering and directing incoming phone calls with exceptional customer service.
  • Managing the front desk and ensuring our office is welcoming, organized, and client-ready each day.
  • Coordinating conference rooms, meetings, and daily office activities.
  • Providing administrative support across multiple departments.
  • Processing mail, maintaining office supplies, and assisting with office operations.
  • Supporting client communications, company events, and special projects.
  • Helping keep our office running smoothly so the entire team can provide outstanding service.

No two days are exactly alike, and that's one of the things you'll love most about this role.

What Makes You Successful

We're looking for someone who:

  • Naturally enjoys helping people and creating positive experiences.
  • Is calm, composed, and solution-oriented when priorities shift.
  • Can confidently manage multiple tasks without sacrificing attention to detail.
  • Communicates professionally with clients, coworkers, and business partners.
  • Proactively identifies opportunities to help, takes initiative, and follows through on commitments.
  • Enjoys being part of a collaborative team and is always willing to lend a hand.
  • Has excellent organizational and time management skills.
  • Brings a positive attitude and a polished, professional presence every day.

Why You'll Love Working Here

As a full-time member of our team, you'll enjoy:

  • 4½-day work week
  • Paid Time Off (PTO)
  • Medical, dental, vision, life, and disability insurance
  • Competitive salary based on experience
  • Variable compensation opportunities
  • Retirement plan with company match
  • Team-building events and celebrations
  • Opportunities for professional growth and advancement as our company continues to grow

Qualifications

  • Two or more years of experience in customer service, reception, administrative support, or office coordination preferred.
  • Strong verbal and written communication skills.
  • Proficiency with Microsoft Office and the ability to learn new technology quickly.
  • Experience working in a fast-paced office environment is a plus.
