Overview
We are seeking a highly organized and proactive Administrative Office Coordinator to oversee daily office operations and support our design team. This role requires a versatile individual with strong communication, organizational, and customer service skills to ensure the smooth functioning of our showroom processes. The ideal candidate will have experience in office management, clerical tasks, and customer service functions, with the ability to handle multiple responsibilities efficiently. Duties
- Manage orders, acknowledgements, and customer communications after ordering to assist the designer
- Coordinate and oversee office operations, including front desk duties and customer service
- Handle vendor management, including procurement and maintaining relationships with suppliers
- Oversee customer accounts and handle down payments on their accounts
- Organize and maintain filing systems for easy document retrieval and record accuracy
- Write tickets to be billed out to customers
- Ensure effective communication between locations through clear correspondence and phone etiquette
- Manage office supplies inventory, vendor sample updates and selling material orders
- Support ordering tasks if applicable, including countertop scheduling and communications
Qualifications
- Experience in office management, administrative support, or clerical roles within a professional environment (We are open to training if the candidate seems like a good fit our our work environment.)
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent communication skills—both verbal and written—along with professional phone etiquette
- Proficiency in QuickBooks, calendar management tools, MS Office Suite (Word, Excel, Outlook), and phone systems, is desirable but we can train too.
- Experience in customer service but not required. Someone who is comfortable with working with the public.
- Demonstrated ability to handle confidential information discreetly and professionally.
- Strong problem-solving skills with a proactive approach to task completion
This role is integral to maintaining an efficient office environment while supporting the growth and success of our team. When the designer is on appointments, we hope the office coordinator will handle walk-in customers and phone calls with confidence after proper training.
Pay: From $15.00 per hour
Expected hours: 24.0 – 44.0 per week
