Administrative Assistant NEEDED:
We are seeking a dynamic and highly organized Administrative Assistant for a temporary / contract opportunity to start right away. In this vital role, you will serve as the Administrative Assistant, ensuring smooth daily functions and providing exceptional support to staff and clients alike. Your energetic approach and attention to detail will help foster an efficient, welcoming environment where everyone can thrive. Bilingual in Spanish is a plus.

Administrative Assistant Schedule:

  • Mondays – 9:00 am – 6:00 pm
  • Tuesdays – 10:00 am – 7:00 pm
  • Wednesdays - 9:00 am – 6:00 pm
  • Thursdays – 10:00 am – 7:00 pm
  • Fridays – 8:00 am – 5:00 pm

Administrative Assistant Job Summary:

Under general supervision, provides a variety of secretarial, reception, and office administrative assistance. The Administrative Assistant will provide customer service, record keeping, communication, and will handle public inquiries. The Administrative Assistant will provide support for the front office and assist with telephones and meeting schedules. Sensitivity to confidential matters may be required.

Administrative Assistant Duties:

  • Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette
  • Operate multi-line phone systems, answer inquiries promptly, and route calls efficiently
  • Maintain accurate data entry records using Microsoft Office, Google Workspace, and QuickBooks for bookkeeping and administrative tasks
  • Organize and file documents systematically, ensuring easy retrieval and confidentiality
  • Support calendar management by scheduling appointments, meetings, and reminders for staff members
  • Assist with clerical duties such as proofreading correspondence, preparing reports, and managing incoming/outgoing mail
  • Provide exceptional customer service by supporting clients via phone or in person, addressing questions with patience and professionalism
  • Handle office supplies inventory and coordinate procurement to ensure smooth daily operations
  • Support office management tasks including organizing files, maintaining office equipment, and overseeing general administrative functions

Administrative Assistant Qualifications

  • High school diploma or equivalent supplemented with secretarial training; or
  • Three (3) years of progressive clerical experience
  • Proven experience in office administration or clerical roles with strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), and basic computer literacy
  • Experience with QuickBooks or bookkeeping is a plus
  • Excellent phone etiquette with the ability to handle multi-line phone systems confidently
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Strong typing skills with attention to detail for data entry and proofreading tasks
  • Demonstrated ability to manage time efficiently and prioritize tasks effectively

Pay: $20.00 - $23.00 per hour
