Position Summary

The Marketing & Events Coordinator is responsible for coordinating the day-to-day execution of marketing, communications, public engagement, and event logistics that advance The Journey Museum's mission and strategic goals.

Working under the direction of the Director of Operations, this position transforms strategic initiatives into engaging public experiences through creative storytelling, coordinated communications, event logistics, community partnerships, and exceptional visitor engagement.

The Marketing & Events Coordinator serves as an integral member of the museum team, collaborating across departments to ensure exhibitions, educational programs, fundraising initiatives, rentals, and community events are effectively promoted, professionally coordinated, and delivered with excellence.

This position plays a vital role in strengthening community relationships, increasing museum visibility, supporting earned revenue opportunities, and ensuring every public interaction reflects the mission, values, and reputation of The Journey Museum.

Essential Duties & Responsibilities

Marketing & Communications

Support the execution of the museum's overall marketing and communications strategy by producing compelling content that advances organizational goals and strengthens public engagement.

Responsibilities include:

  • Gather and develop creative marketing assets including photography, video, written content, testimonials, and promotional materials.
  • Write engaging copy for social media, website content, email campaigns, press releases, printed materials, advertising, and promotional communications.
  • Maintain and manage the museum's marketing content calendar in alignment with exhibitions, educational programming, fundraising initiatives, memberships, strategic priorities, and public events.
  • Schedule and publish content across the museum's digital communication channels while maintaining consistent branding, voice, and messaging.
  • Support the development, coordination, scheduling, and distribution of email marketing campaigns and newsletters.
  • Coordinate website updates, ensuring timely, accurate, and engaging content.
  • Design graphics and promotional materials for exhibitions, educational programs, memberships, fundraising campaigns, rentals, community initiatives, and special events.
  • Design brochures, flyers, posters, signage, advertisements, visitor guides, and other promotional collateral consistent with museum brand standards.
  • Maintain digital and print marketing assets while supporting ongoing brand consistency.
  • Coordinate photography and videography needs for exhibitions, programs, and special events.
  • Assist in preparing press releases, media advisories, interview coordination, and promotional materials.
  • Monitor marketing performance and engagement metrics while providing recommendations for continuous improvement.

Community Outreach & Promotional Partnerships

Expand awareness of The Journey Museum throughout the Black Hills region by strengthening community partnerships and promoting museum experiences to diverse audiences.

Responsibilities include:

  • Submit museum programs, exhibitions, lectures, special events, and community activities to local event calendars, tourism organizations, media outlets, and promotional partners.
  • Promote facility rentals, group tours, educational programming, memberships, and other museum offerings through coordinated marketing campaigns and outreach efforts.
  • Assist with grassroots marketing and community outreach initiatives and represent the museum professionally during community outreach opportunities as assigned.

Event Logistics, Rentals & Visitor Experience

Support the successful execution of museum programs, exhibitions, fundraising initiatives, member events, facility rentals, and group visits by coordinating logistics, promotional efforts, and exceptional visitor experiences.

Responsibilities include:

  • Develop and maintain event planning timelines, checklists, and promotional schedules to support successful event execution.
  • Coordinate event logistics including room setup, audiovisual needs, signage, printed materials, registration, and event supplies.
  • Ensure promotional materials, marketing assets, and event communications are completed and distributed according to established timelines.
  • Coordinate event details and communication with museum staff, volunteers, and community partners as directed.
  • Assist with onsite event setup, guest experience, troubleshooting, and teardown.
  • Coordinate group visit reservations and logistics, serving as a welcoming point of contact for tour operators, community organizations, and other visiting groups to ensure a seamless and enjoyable experience.
  • Serve as the primary point of contact for facility rental inquiries by responding to prospective clients, coordinating site visits, preparing rental information, and guiding rental opportunities from initial inquiries through successful event completion.
  • Support the growth of museum attendance, group visitation, and facility rentals through responsive customer service, relationship building, timely follow-up, and excellent coordination.
  • Maintain event and rental planning documents and assist with post-event evaluations to identify opportunities for continuous improvement.

Cross-Department Collaboration

The Marketing & Events Coordinator works collaboratively across the museum to support organizational priorities and ensure a consistent visitor experience.

Responsibilities include:

  • Collaborate with Education staff to promote programs and educational initiatives.
  • Support fundraising campaigns and donor communications in partnership with Development staff.
  • Coordinate with Visitor Services to ensure accurate visitor information and promotional materials.
  • Assist Curatorial staff with exhibition promotion and public engagement efforts.
  • Support museum leadership in implementing strategic initiatives.
  • Participate in organizational planning meetings and cross-department projects as assigned.

Qualifications

Required

  • Bachelor's degree in Marketing, Communications, Public Relations, Event Management, Museum Studies, Graphic Design, or a related field, or equivalent professional experience.
  • Excellent written and verbal communication skills.
  • Strong organizational and project management abilities.
  • Graphic design experience using Canva, Adobe Creative Suite, or similar software.
  • Experience managing social media platforms and digital communications.
  • Ability to manage multiple priorities in a collaborative environment.
  • Exceptional attention to detail and organizational skills.
  • Ability to work occasional evenings and weekends for museum events.

Preferred

  • Experience working in a museum, nonprofit, arts, tourism, education, or cultural organization.
  • Photography and basic videography experience.
  • Website content management experience.
  • Experience with email marketing platforms.
  • Familiarity with CRM, membership, or ticketing systems.
  • Experience coordinating public events or community programming.

Physical Requirements

  • Ability to lift and carry up to 30 pounds.
  • Ability to stand, walk, bend, and move throughout museum facilities during events.
  • Ability to assist with event setup and teardown.

Pay: $45,000.00 - $50,000.00 per year
