Be the Backbone of Our Foundation as the Administrative Associate 

Are you a detail-loving planner, proactive problem solver, and relationship builder? The Jewish Community Foundation is looking for a dynamic Administrative Associate to play a central role in supporting our Executive Director, managing key events and meetings, coordinating donor engagement, and driving forward high-impact initiatives. Position Overview:
 

The Administrative Associate, Jewish Community Foundation is a key member of the Foundation, supporting many of the administrative and executive functions that drive efficiency and effectiveness for our department. Often the first point of
contact with external partners, this role is responsible for
scheduling and executive support,
managing and facilitating successful foundation events and meetings, supporting donor data entry and
the development of key presentations to major stakeholders, and providing project management assistance for foundation special initiatives and donor learning events. This is a role that works directly with the Executive Director, interfaces with key volunteers, lay leaders, and external partners, as well as our internal team of professionals.

Primary Responsibilities
 


Executive & Administrative Support 

  • Provide executive-level administrative support to the Executive Director, including calendar coordination, expense reports, travel, and service requests 
  • Order and track supplies, process invoices, and manage check requests through internal systems 
  • Develop and refine processes to improve task efficiency and effectiveness 
  • Provide additional ad-hoc scheduling support for other members of the Foundation team for group meetings 

Event & Meeting Coordination 

  • Support planning, registration, and logistics for major donor events, learning programs, and Trustees meetings 
  • Facilitate and schedule internal Foundation team meetings and events in alignment with external events 

Committee & Trustee Support 

  • Provide administrative support and prepare materials for Foundation Trustee committees (e.g., Executive, Nominating, Business Development, Endowments Grant) 
  • Create, edit, and organize documents, reports, and spreadsheets for presentations and communications to major donors and Trustees 

Data & Project Management 

  • Bring a thoughtful planning approach to calendaring year-round Foundation internal and external meetings and events 
  • Maintain organizational system for managing workflow 
  • Support timely data entry and upkeep in internal CRM platform 
  • Coordinate and manage administrative tasks for special Foundation initiatives 
  • Support cross-functional and cross-departmental projects 


Skills and Experience


 

  • Bachelor’s degree and 4–5 years of relevant experience 
  • Strong verbal, written, and interpersonal communication skills with a customer service mindset 
  • Proven ability to manage across teams, take initiative, and solve problems independently 
  • Proficient in Microsoft Word, Excel, PowerPoint, and open to learning new technologies (e.g., CRMs) 
  • Highly organized with excellent time management and attention to detail 
  • Adaptable, dependable, and able to juggle multiple priorities under pressure
