Responsibilities
- Manage day-to-day association accounting, including:
- Recording and reconciling owner assessments, fees, and other income
- Processing vendor invoices, owner distributions, and refunds
- Posting and reconciling bank and credit card transactions
- Maintain accurate ledgers in Escapia and AppFolio, including unit/owner accounts, reserves, and operating funds.
- Prepare monthly, quarterly, and annual financial statements for the association and Board review.
- Perform balance sheet reconciliations (cash, reserves, prepaid assessments, payables, and interfund activity).
- Assist with annual budgeting, cash flow forecasting, and variance analysis for association operations and reserves.
- Support month-end and year-end close, audit/review/compilation processes, and coordination with external CPA and tax preparers.
- Help ensure accounting and recordkeeping practices comply with applicable Florida statutes and condominium/HOA requirements (e.g., financial reporting, reserve disclosures, record retention).
- Work closely with property management and the Board to answer owner questions and resolve accounting issues.
Required Qualifications
- Practical experience using Escapia and/or AppFolio in a property management or association accounting environment.
- Strong knowledge of general accounting principles and property/association accounting (assessments, reserves, special assessments, owner ledgers, trust/escrow accounting).
- Familiarity with Florida condominium and HOA statutes and regulations as they relate to association financial records, budgets, reserves, and owner reporting (e.g., Florida Statutes Chapters 718/720).
- High attention to detail, strong organizational skills, and ability to meet deadlines and handle multiple priorities.
- Proficiency with spreadsheets and general accounting software.
- Clear written and verbal communication skills and ability to interact professionally with owners, vendors, management, and Board members.
Preferred Qualifications
- Bachelor’s degree in Accounting, Finance, or a related field.
- Experience working for a condominium association, HOA, or similar common-interest realty association in Florida.
- Experience preparing or supporting annual budgets, reserve studies/analyses, and year-end financial reporting for associations.
