We provide outpatient counseling services across the lifespan as well as school-based
services throughout Rhode Island, collaborating with school staff to ensure
comprehensive, wrap-around care.
Position Overview
We are seeking a detail-oriented and organized Patient Referral & Billing Coordinator to
support both front office operations and billing processes. This dual-role position is
essential in ensuring a seamless patient experience—from initial referral and intake
through billing and claims resolution.
The ideal candidate will provide excellent customer service while managing scheduling,
patient onboarding, insurance verification, and medical billing tasks. This role requires
strong organizational skills, attention to detail, and the ability to collaborate across
administrative and clinical teams.
Key Responsibilities
- Patient Intake & Front Office Coordination
- Greet patients and visitors in a professional and welcoming manner
- Answer and direct incoming calls; take accurate messages
- Schedule, confirm, and manage patient appointments
- Coordinate new patient referrals and ensure all required documentation is
complete
- Prepare and distribute intake packets and referral communications
- Maintain and update electronic health records in compliance with HIPAA
- Track referrals, maintain logs, and generate reports
- Communicate scheduling updates and patient concerns to clinicians
- Manage office flow, room assignments, and daily scheduling logistics
- Maintain cleanliness and organization of front office and shared spaces
- Monitor office supplies as needed
Billing & Insurance Operations
- Submit accurate and timely insurance claims (electronic and paper)
- Track billing, payments, and collections to manage accounts receivable
- Research and resolve denied, rejected, or unpaid claims
- Communicate with insurance carriers regarding claim issues
- Update patient accounts and prepare accounts for collections as needed
- Assist with insurance verification, eligibility, and benefit checks
- Serve as a resource for billing-related questions from staff and clients
General Administrative Support
- Collaborate with clinicians and administrative staff to optimize workflows
- Identify and help resolve scheduling or billing issues impacting operations
- Cross-train and assist with additional administrative duties as needed
Qualifications
- High School Diploma or GED required
- Medical Billing Certificate preferred
- Minimum 1 year of medical billing or healthcare administrative experience
preferred
- Experience in a medical, behavioral health, or dental office setting preferred
- Knowledge of medical terminology, insurance processes, and HIPAA compliance
required
- Proficiency with Google Suite and electronic health record systems preferred
- Strong organizational, multitasking, and problem-solving skills
- Excellent written and verbal communication skills
