Role Description The Catering Coordinator is a full-time, on-site administrative role based in Rancho Santa Fe, responsible for supporting the Catering Team's planning and execution of catered events including corporate and social events and wedding celebrations at The Inn at Rancho Santa Fe. This position supports the Catering Team to include Catering Sales Managers and Director of Catering with event booking details, including menu selections, room setups, timelines, and special requests, while maintaining clear communication with clients, internal teams, and vendors. Day-to-day tasks include managing event inquiries, preparing proposals and contracts, creating, updating and distributing Banquet event orders, coordinating with culinary and banquet staff, and ensuring accurate billing and documentation. The Catering Coordinator responds to inquiries, assists with site tours as needed and provides administrative support to help ensure seamless booking process and guest satisfaction.
Qualifications
- Experience in catering, banquet operations, or event coordination within luxury hospitality or related industries.
- Strong organizational, time management, and multi-tasking abilities to manage multiple events and deadlines.
- Effective written and verbal communication skills, with the ability to interact professionally with clients, colleagues, and vendors.
- Proficiency with office software (e.g., word processing, spreadsheets, email) and the ability to learn event or property management systems (Delphi/Amadeus Salesforce).
- Demonstrated attention to detail and problem-solving skills, with a focus on delivering high-quality guest experiences.
- Ability to work on-site
- Previous experience in luxury or boutique hotel environments is beneficial; formal training in hospitality, event management, or related fields is a plus.
