Activation Specialist

Job Description

Duties and Position. Hype Activation Specialist is a hybrid position, in HYPE office and out of home office- the typical work week entails 3 days in the office and 2 days remote. Duties may be reasonably modified at HYPE’s discretion from time to time. The following outlines the duties of the position, including but not limited to:

Activation Specialist duties include, but are not limited to:

· Report directly to Program Management

  • Develop a strong understanding of the experiential marketing industry
  • Be available to clients, internal colleagues, and staff at all times during program activations, including weekends and evenings

· Partner with Producer, Client, and other Activation Team members to develop the ideal talent profile for each job and staffing timelines

  • Communicate clearly and respectfully with colleagues and clients
  • Meet expectations for client service goals and program success metrics

· Have the ability to meet deadlines, prioritize tasks, report back on the status of key clients, and deliver prompt and sound decisions

  • Participate in Program Kick-Off calls to confirm program details
  • Screen, interview, staff and manage talent for various promotional event positions, as required

· You’ll partner with Human Resources and Onboarding to make sure candidates have a smooth transition from candidate to employee

  • Manage staff reporting to cover program metrics
  • Book qualified staff, including back-ups for all assigned programs, as required
  • Confirm staff prior to program execution

· Confirm and conduct training calls prior to program execution reviewing event

· Assist talent with completing online profiles, password assistance, and other talent management system navigation, as needed

· Verify talent’s presence at all assigned events via text message or phone call and communicate status with client and Producer

· Deploy backups or attempt to find a replacement, as needed

· Manage talent as needed throughout the length of the event

· Be available to clients, internal colleagues, and staff at all times during program activations, including weekends and evenings

  • Maintain talent files with project details and performance feedback

· Managing job posts in our talent management system and job boards

· Reconcile staff hours, reimbursable or any other events cost on the pay sheet/expense tracker with proper notation within 24-48 of each event, each week.

· Enter verified hours and pay rates onto the pay tab within that same time frame each week, including overtime and expenses

· Ensure all timesheets and expenses have accompanying receipts, and receipts are saved in the program folder.

· Complete required case studies and any program recaps if assigned

· Maintain complete, organized, and updated program files (OC as primary & Google drive/other as secondary) including all project details, event information, timesheets, expense receipts, etc.

  • Meet deadlines, prioritize tasks, report on key accounts and deliver prompt and sound decisions

· Own multiple aspects of the talent hiring process including sourcing, screening, interviewing and closing for various promotional event positions.

Qualifications:

  • Bachelor’s Degree or higher
  • 1-2 years of professional experience
  • Highly motivated to pursue a career in Staffing or Experiential Marketing.
  • Excellent communication skills in on the phone, by email, and through text.
  • Bold interest in using their creative writing skills in different marketing applications.
  • Solid computer knowledge/experience, especially with Microsoft Excel, Word, and PowerPoint
  • Familiar with Asana Project Management system, a plus
  • Ability to maintain strict confidentiality regarding proprietary information.
  • Ability to manage multiple integrated high-profile projects simultaneously.
  • Willing and able to work nonstandard work hours and weekends.
  • A self-starter, highly organized, knowledge-hungry and able to work well with employees at all levels of the organization
  • Must have a strong work ethic and a positive, can-do attitude.
  • Strong grasp of coordinating travel details and logistics.
  • Resourceful thinker and planner with keen attention to detail.
  • Highly developed verbal and written communication skills.
