AP & Payroll Specialist, McHenry (On-Site) Employment Type: Full-Time, Direct HirePosition SummaryThe AP & Payroll Specialist is responsible for the accurate and timely processing of payroll and accounts payable functions in a union and non-union environment. This role works closely with the Controller, HR, and senior leadership to ensure compliance, accuracy, and efficiency across payroll, benefits, and vendor payment processes. Experience working in a Union environment is required!Full time on-site position in McHenry, IL 40 hours Monday through Friday7am to 4pm or 8am to 5pm with 1 hour unpaid LunchPay: Between $60K to $65K DOE plus benefits packageKey ResponsibilitiesPayroll & BenefitsProcess weekly payroll for both union and non-union employeesMaintain and update payroll records, including exemptions, tax status, insurance coverage, deductions, job changes, and banking informationVerify timekeeping records, resolve discrepancies, and consult with employees as neededInitiate direct deposits and confirm timely submission of wire transfersRecord payroll, 401(k), and related transactions and reconcile postings to the general ledgerEnsure transactions are posted to correct G/L accountsPrepare and file payroll-related reports and returns, including:Weekly payroll tax and 401(k) contributionsQuarterly Form 941Year-end payroll reports, including W-2sMonthly CCIP and Certified Payroll reportsMaintain compliance with union wage rates, benefits, classifications, and reporting requirementsPrepare and submit weekly and monthly union reports and contributionsReconcile time and attendance balances monthly and address accrual exceptionsAccounts PayablePerform full-cycle accounts payable processingReceive, allocate, and enter high-volume invoices from multiple facilitiesObtain appropriate approvals and documentation prior to posting invoicesProcess weekly check runs, ACH, and wire paymentsPerform monthly vendor reconciliations and resolve discrepanciesRespond promptly and professionally to internal and external vendor inquiriesReporting & AdministrationRun payroll and financial reports as requested by the Controller and senior leadershipTrack and communicate employee payroll questions and concerns to HR and the ControllerEnsure all payroll and AP processing and reporting deadlines are consistently metMaintain accurate documentation and compliance with company policies and proceduresParticipate in projects and perform other duties as assignedKey CompetenciesStrong attention to detail with exceptional organizational and follow-through skillsAbility to multitask effectively in a fast-paced environmentProficiency with Microsoft Excel, including basic formulas and functionsExperience with payroll systems; Vista payroll software experience is a plus (training provided)Highly motivated, flexible, and professional with a positive attitudeTakes pride in quality, accuracy, and accountabilityRequired Education & ExperienceHigh School Diploma or Associate Degree required; Bachelor’s degree in Accounting or a related field preferredMinimum of five (5) years of payroll and accounts payable experience in a union environmentBenefitsWe offer a competitive benefits package designed to support the health, financial security, and work-life balance of our employees, including:Medical (Health) InsuranceDental InsuranceVision InsuranceLife Insurance401(k) Retirement PlanPaid Time Off (PTO)The Huntington Resource is an Equal Opportunity Employer – All qualified applicants will be considered for employment regardless of the individual’s race, color, religion, sex (including pregnancy, gender identity, and sexual orientation), marital status, national origin, age, disability, veteran status, genetic information, or any other characteristics protected by state or federal law.
