We are looking for a reliable, organized, and proactive Operations Assistant to support both office administration and field operations.
Position Summary
The Operations Assistant plays a key role in supporting daily business operations, coordinating material flow, assisting with administrative tasks, and ensuring a smooth experience for our clients and our crews. This role involves a blend of office responsibilities and hands-on operational support.
Operations Assistant Key Responsibilities
Office Responsibilities:
- Process accounts payable and maintain accurate expense records
- Log accounts receivable and assist with payment tracking
- Deposit checks and maintain banking records
- Perform general office cleanup and organization
- Assist with starting payroll and gathering timekeeping data
- Manage material shortage notifications and help with job rescheduling
- Communicate with clients via email and support scheduling updates
- Answer inbound phone calls, provide basic assistance, and route calls as needed
- Order materials from vendors and track delivery statuses
Operational Responsibilities:
- Load materials onto company trucks using a forklift (training provided if needed)
- Transport materials from office to job sites or other vendor locations
- Assist in loading materials for customers
- Perform job site pre-checks to confirm readiness prior to crew arrival
- Pick up payments from customers as needed
- Meet with customers to provide color samples and product information
- Support the operations team with other field and logistics-related tasks
Qualifications of Operations Assistant:
- Prior experience in administrative, operations, or logistic roles preferred
- Ability to operate a forklift or willingness to be trained
- Strong organizational and communication skills
- Comfortable with both office and field-based work
- Basic computer skills (email, spreadsheets, scheduling tools)
- Valid driver’s license and clean driving record
- Ability to lift up to 50 pounds and move materials as needed
