We are seeking a professional and friendly Front Desk Receptionist to join our team at our Warner Robins location. As the first point of contact for our patients, you will play a vital role in creating a welcoming experience and ensuring smooth day-to-day operations.
The ideal candidate will have prior medical office experience, strong computer and multitasking skills, a positive and bubbly personality, and a motivated, team-focused attitude.
Note: A two-week training period will be conducted at our main corporate office in Tifton, GA.
Key Responsibilities/Patient Check-In & Check-Out
- Greet patients warmly and check them in and out for daily appointments.
- Schedule follow-up and annual appointments in advance.
- Ensure every patient has an annual appointment scheduled, regardless of their visit reason.
- Promptly reschedule patients when provider schedules change.
- Respond to patient messages and appointment requests via Luma.
- Contact patients within one hour of a missed appointment to reschedule.
- Schedule mammogram screenings one year and one day from the patient’s last screening.
Communication, Documentation & Administrative Tasks
- Answer all incoming calls promptly and professionally.
- Document nurse call notes for medication refill requests or clinical concerns and route them appropriately.
- Manage provider flow daily, including uploading labs and sending medical records.
- Complete all provider tasks in Greenway by end of day.
- Verify patient insurance at check-in and ensure all paperwork is complete and updated in the chart.
- Complete and email the daily muster.
- Enter patient information accurately into accounts.
- Maintain a clean, organized, and clutter-free workspace.
- Keep patient refreshment areas (snacks/drinks) stocked.
- Process patient payments accurately, provide receipts, and post payments immediately.
- Review and scan the daily payment analysis report into the deposits folder each day.
- Scan all superbills into the superbill folder by the end of day.
- Prepare for the next day by pulling the daily muster and ensuring patient paperwork and insurance info are ready for the MA team.
- Scan in all lab orders and necessary documents before leaving each day.
- Participate actively in daily musters to support teamwork and office flow.
Qualifications
- Previous experience in a medical office preferred, but not required.
- Proficient with phone systems, scheduling software, and general office equipment.
- Strong typing accuracy and computer literacy.
- Outstanding customer service skills with professionalism under pressure.
- Highly organized, detail-oriented, and able to multitask effectively.
- Excellent verbal and written communication skills.
- Team-oriented with a positive, proactive approach.
