Position Description: The Enrollment Manager will execute and coordinate enrollment operations from invitation through onboarding, ensuring data accuracy, process integrity, and timely completion of critical workflows. In the near term, this role will require significant hands-on work with manual data validation, cleanup, reconciliation, and exception handling, while also helping identify opportunities for long-term process improvement and automation.
Working collaboratively across the organization and with external partners, the Enrollment Manager uses data, technology, and operational best practices to improve enrollment outcomes, streamline processes, and support the Society’s membership goals.
This role requires accuracy, consistency, discretion, and a commitment to maintaining high-quality data and operational processes in a deadline-driven environment.
Key Responsibilities
- Manage and coordinate enrollment workflows and timelines from invitation through onboarding, ensuring deadlines and service expectations are met.
- Partner with Chapter Relations to support chapter invitation cycles and ensure accurate and timely data collection from chapter officers and institutions.
- Prepare, validate, process, and maintain enrollment-related data across multiple systems and vendor platforms.
- Perform detailed data validation, cleanup, reconciliation, and exception resolution across multiple systems to ensure enrollment accuracy and data integrity.
- Monitor data quality and maintain data integrity across systems, identifying inconsistencies and proactively addressing issues.
- Develop, maintain, and analyze enrollment reports, dashboards, and performance metrics to support operational decision-making.
- Partner with IT and external vendors to troubleshoot system issues, support enhancements, and improve data workflows.
- Investigate and resolve data discrepancies, identify root causes of recurring issues, and recommend workflow improvements or automation opportunities.
- Coordinate certificate processing, new member packet fulfillment, and related post-enrollment workflows.
- Develop and maintain documentation, standard operating procedures, and workflow guides for enrollment-related processes.
Qualifications
- Bachelor’s degree or equivalent professional experience.
- 2 years of experience in membership operations, data management, program operations, or a related field.
- Experience working with CRM, AMS, or other database-driven systems.
- Advanced Excel proficiency required, including experience working with large datasets, complex formulas, data reconciliation, exception analysis, and spreadsheet automation.
- Exceptional attention to detail and commitment to data accuracy.
- Strong analytical, organizational, and problem-solving skills.
- Excellent communication and project coordination abilities.
- Strong service orientation and commitment to supporting members and stakeholders.
- Experience in nonprofit, association, or higher education environments.
- Experience in enrollment management or membership enrollment programs.
- Experience working with student, member, customer, or constituent data and records.
- Experience with Association Management Systems (AMS), reporting, analytics, business intelligence, and integrated technology platforms.
- Experience with automation tools, AI-assisted workflows, process improvement, workflow optimization, or project coordination.
