HR Assistant
Our client, a renowned research institution, is seeking a detail-oriented and proactive HR Assistant to join their Human Resources team. This pivotal role supports various HR functions, ensuring smooth operational workflows and compliance with federal and institutional policies. Compensation:
$26.00 per hour | $55,000 - $60,000 annually
Responsibilities:
- Facilitate the end-to-end processing of personnel actions within the Human Resource Management System (HRMS), ensuring all documentation aligns with Smithsonian and federal standards.
- Prepare and publish recruitment postings for federal and trust fund roles, accurately reflecting job details and qualification requirements.
- Oversee new hire onboarding activities, including scheduling, verifying employment eligibility, and conducting orientation sessions.
- Manage fellowship applications via SOLAA, monitor application submissions, troubleshoot issues, and coordinate with review committees.
- Serve as the primary contact for affiliate appointment data in the ECR database, generating reports and tracking upcoming appointment and stipend renewals.
- Maintain and update benefits enrollment records for employees and affiliates, ensuring compliance with all policies and regulations.
- Coordinate the background investigation process for employees, fellows, and affiliates, ensuring timely completion and adherence to security standards.
- Identify opportunities to improve HR operational workflows, develop standard procedures, and support policy compliance.
- Manage the HR email account, prioritizing and responding to inquiries promptly, and maintaining organized correspondence records.
- Perform additional duties as required to support departmental projects and initiatives.
Requirements:
- High school diploma or equivalent; bachelor’s degree preferred.
- Prior experience supporting HR functions, preferably in a federal or government-related setting.
- Familiarity with HR systems such as HRMS and applicant tracking platforms.
- Strong organizational skills with the ability to manage multiple priorities efficiently.
- Excellent communication skills, both written and verbal.
- Knowledge of federal employment regulations and recordkeeping standards is a plus.
- Ability to work onsite on a full-time basis (5 days a week).
- Proficiency in Microsoft Office Suite and database management.
