The Henri Stern Watch Agency is looking for a Workshop Administrator to join our team!
Role Description
The primary goal of the Workshop Administrator is to support the Workshop and Planning teams with key reporting and administrative tasks in order to maximize the performance and efficiency of the Customer Service & Workshop department. This influential role will support seamless operational performance by using data to inform Management decision-making, identifying opportunities for continuous improvement, and ensuring that Patek Philippe timepieces move through the service process in a timely and effective manner. The role interacts with various colleagues to provide collaborative and data-driven support.
Key Responsibilities
Essential duties and responsibilities include, but are not limited to:
- Assist the Customer Service & Workshop Management by proactively providing data-rich insights
- Lead daily, weekly and monthly reporting (typically Word, PowerPoint and Excel reporting), ensuring key information is visible in the Workshop and Customer Service areas
- Engage in weekly meetings, ensuring that key data and insights are available to guide Management
- Administer Service requests and modifications needed on Repair orders accurately and promptly
- Assign daily service estimates
- Own the monthly ProMon (workshop productivity) and Customer Service Reporting processes to the
- Manufacture / Headquarters
- Assist in scheduling of repairs, track and follow up on escalated repairs, and work closely with the team to accomplish time dated goals, largely related to the progression of work around the department
- Assist in inventory picking for service orders and deliveries
- Assist as back-up for the processing of subcontracting repairs
- Assist as back-up for (repair-related) data entry and administrative tasks in Customer Service and Shipping
Qualifications
- Excellent interpersonal skills and Excellent listening skills
- Professionalism and the ability to handle pressure, particularly with changing deadlines
- Customer focused
- Consistent, professional dress and manner
- Good time management
- A positive, professional, can-do attitude and presentation with excellent oral and written communication skills
- Proficiency using ERP and CRM systems - SAP experience highly desirable
- Experience working in a production or service environment
- Strong organization, time management, multitasking, and follow up skills with attention to details.
- Computer Skills: Microsoft Office Suite (Excel, Word, PowerPoint, Outlook), SAP
