Facilities Setup & Calendaring Associate
This Associate position is crafted to help aid and assist the Facilities Manager in the administrative needs for the Facilities Department. This includes helping to oversee facility management and effectively orchestrate facilities operations including scheduling room and resource requests, room and area set ups, custodial schedules and other facilities management duties. The key to this position is to be effective, efficient, flexible, and able to manage multiple tasks at once. This position helps oversee the facilities operations, custodial operations, database, events and any other needs that arise.

RESPONSIBILITIES
Provide administrative support to the Facilities Team
- Attend all Facilities Team meetings.
- Fluent In English
- Keep stocked inventory of all tools, custodial materials and other facilities supplies.
- Track down any missing tools and get them returned to the facilities department.
- Keep the facilities tool shop clean, organized and maintained at all times.
- Assist with scheduling all necessary outside vendor involvement and annual inspections.
- Coordinate reservation needs for all events with other administrative assistants. (PCO)
- Assist facilities manager locate, shop pricing and procure various equipment & parts.
- Act as a liaison between facilities department and other departments.
Help oversee all Custodial Work
- Maintain direct contact and communication with all custodians.
- Ensure each custodian has the set-up, supplies, and resources that they need.
- Coordinate with other administrative assistants for special cleaning needs.
- Handle and oversee all custodial supplies.
Assist with Facilities Work Reporting & Scheduling System (Spiceworks)
- Continually enter and monitor outstanding repair requests and scheduled maintenance.
- Ensure that facility requests are scheduled and addressed timely.
- Help facility manager monitor all repair requests to ensure work is resolved timely.
Assist with campus EMS system (Tridium)
- Continually monitor campus conditions to ensure all areas are kept at an appropriate temperature as needed for each room reservation.
Effectively assist the facilities manager with documentary requirements
- Help gather and maintain the documents necessary for all annual inspections.
Other Duties
- Must be able to lift 50 lbs. consistently.
- Other duties as assigned.

- Manage email, voicemail, and communication requests in a timely, thorough manner not to exceed 1 week
