Scope of Position

Responsible for handling a wide range of administrative and executive support-related tasks and works independently with little or no supervision. Manage the day-to-day business activities of upper-level senior leadership as assigned. This position works in a fast-paced environment, sometimes under pressure while remaining flexible, proactive, resourceful, and efficient.

Job Responsibilities
  • Set priorities and develop procedures to accomplish tasks within deadlines, ensuring efficient coordination and follow-through.
  • Prepare, review, and edit high-level documents, presentations, and reports, including financial, statistical, legal, or technical data.
  • Independently manage and coordinate senior leadership's complex schedules, ensuring alignment with business priorities.
  • Create professional presentations using PowerPoint or other software for internal and external meetings.
  • Draft and sign routine and complex correspondence, ensuring professional communication in all interactions.
  • Conduct in-depth research and gather detailed information to support senior leadership's decision-making.
  • Handle and safeguard sensitive and confidential information, ensuring discretion and compliance.
  • Prepare and process expense reports, budgets, and financial documents for senior leadership.
  • Review and approve timecards and expense reports, ensuring accuracy and compliance.
  • Manage complex travel itineraries for senior leadership, ensuring smooth logistics.
  • Support senior leadership in the hiring process, including interview coordination and onboarding.
  • Provide training to junior staff, enhancing team performance and mentoring administrative personnel.
  • Plan and coordinate offsite meetings, conferences, and special events.
  • Act as the primary point of contact for high-level external stakeholders, maintaining professional relationships.
  • Represent senior leadership in meetings, conferences, and events as needed.
  • Work with various departments to ensure smooth execution of initiatives and facilitate communication.
  • Assist with other duties as assigned within the designated department.
  • Travel as required.

Education & Years of Experience
  • High school diploma required; some college or applicable business certification preferred.
  • Senior Admin I requires a minimum of 5-7 years of relevant experience; Senior Admin II requires 7 years of experience.

Qualifications
  • Good organizational skills; attention to detail
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint)
  • Communicate effectively verbally and in writing
  • Provide, as well as carry out, detailed verbal and written instructions independently
  • Collaborate with others to accomplish organizational goals; identify and resolve problems
  • Use logical or rational thinking to solve problems; make decisions based on personal judgment
  • Perform mathematical calculations (fractions, decimals, percentages, statistical) as needed
  • Demonstrate competency in Microsoft Word, including PowerPoint; Prolog if applicable

  • High level of professionalism, discretion, and confidentiality

Environmental Factors and Physical Requirements

While performing the duties of this job, team members may be required to visit alternate locations and therefore must have ordinary ambulatory skills sufficient to do so. This position requires the ability to stand, walk, stoop, kneel, crouch, and manipulate (lift, carry, move) light to medium weights of 10-50 pounds.

Requires good hand-eye coordination, arm, hand, and finger dexterity, including the ability to grasp, and visual acuity to use a keyboard, operate equipment, and read application/form information. The team member is frequently required to sit, reach with hands and arms, talk, and hear.
