What are the responsibilities and job description for the Weekend Activities Assistant & Receptionist (Part Time - Every other weekend 9am-4pm) position at The Harbor at Hickory Hill?
Primary Responsibilities:
Activities Programming
1. Implement a comprehensive activities program to help meet the spiritual, physical, social, and psychosocial needs of the residents.
2. Conduct activities as needed.
3. Ensure that residents are encouraged and assisted to attend activities that are of interest to them.
4. Provide opportunities for residents to engage in various community service projects.
7. Carry out other duties as assigned by supervisor.
8. Comply with the residence’s policies, training programs, and state and federal regulations.
Customer Service
1. Possess and maintain knowledge of the residence, its benefits, services provided, the customers, and employees.
2. Answer incoming calls, both internally and externally, in a warm, pleasant and professional manner.
3. Respond to all calls following proper telephone etiquette and taking detailed messages when appropriate.
4. Ensure that messages are relayed promptly to the intended person.
5. Greet all visitors, residents, family members, and employees in a warm and helpful manner.
6. Ensure that the reception areas are clean, neat and inviting.
7. Offer refreshments to visitors and make them feel welcomed and comfortable.
8. Collect the residents’ mail and prepare it for distribution.
9. Provide other assistance with resident services as requested by supervisor.
10. Assist with other duties as assigned.
Administrative
1. Receive and send packages for the Executive Director or other departments as requested by your supervisor.
2. Assist the Business Office Manager in handling inquiries as necessary.
3. Assemble residence brochure packets and mail as requested.
4. Distribute mail to the Executive Director and other departments daily.
5. Assist the executive director and/ or other departments with additional administrative duties as assigned.
To fulfill job requirements, employees must be able to perform key physical task for extended periods of time. When supporting, lifting, or transferring residents, proper body mechanics and safety measures as prescribed by the residence must be used.
In a typical eight- hour day, employee will:
- Stand/walk up to eight hours a day
- Sit up to two to eight hours a day
- Frequently support up to 70 pounds
- Occasionally lift/carry up to 50 pounds
- Drive residents to appointments, activities, etc.
- Frequently kneel, bend, and reach
- Secure proper assistance for transferring and lifting of residents as needed
Assist the activity director in the activities program for the community that reflects the varied interests of the residents and provides them with meaningful and enriching activities. Welcome visitors and answer incoming calls in a warm, pleasant, and professional manner. Maintain a clean and neat reception area, handle specific resident services, and seek administrative support as needed.
