POSTED ON 9/30/2026
AVAILABLE BEFORE 1/27/2027

Position Summary: The Medical Report & Transcription Specialist is responsible for the accurate, complete, and timely preparation, review, billing verification, and distribution of Respondent Medical Examination (RME), Independent Medical Examination (IME), and other medical-legal reports. This position requires exceptional attention to detail and consistent follow-through to ensure that each report matches the requesting party’s instructions, addresses all questions, accurately reflects the provider’s findings and opinions, and is submitted within the required timeframe. The Specialist resolves missing, unclear, or inconsistent information before a report is finalized and may also transcribe clinical or administrative correspondence as needed.

Essential Functions:

  • Review and track incoming RME, IME, and other medical-legal requests, including the required report type, specific questions, submission instructions, deadlines, and billing requirements.
  • Prepare, transcribe, edit, format, and proofread RME, IME, and medical-legal reports with a high degree of accuracy, completeness, and consistency.
  • Compare each completed report with the original request to confirm that all questions are addressed; promptly obtain clarification from the provider, requesting organization, or appropriate staff when information is missing, unclear, or inconsistent.
  • Verify patient identifiers, dates of service, examination details, diagnoses, provider information, and report content against the medical record, source documentation, and service performed.
  • Verify that all services rendered are captured and billed accurately and timely, using the appropriate charge, fee, and supporting documentation; communicate discrepancies for correction before final processing.
  • Monitor due dates, pending responses, billing status, and report completion; prioritize assignments appropriately and promptly alert the supervisor to any issue that may affect timely submission.
  • Distribute finalized reports to the correct authorized party using the required method and document completion and delivery.
  • Transcribe and proofread patient-visit notes, histories and physicals, consultations, operative notes, test results, referral and follow-up letters, meeting minutes, and other correspondence as assigned.
  • Maintain accurate and retrievable records and coordinate the proper routing of charts, reports, and related documentation in accordance with department policies and retention requirements.
  • Safeguard patient, business, and medical-legal information and maintain confidentiality in accordance with HIPAA and organizational policy.
  • Perform other duties as assigned.

Performance Expectations

  • Accuracy and completeness: Work must be carefully reviewed and free from material transcription, patient-identification, report-selection, billing, formatting, or distribution errors.
  • Timeliness: Reports, follow-up items, and billing documentation must be completed and submitted within established internal and external deadlines.
  • Attention to detail: Each request must be reconciled to the final report, supporting record, billing activity, and delivery instructions before the assignment is closed.
  • Accountability: Potential delays, missing information, unanswered questions, or discrepancies must be escalated promptly rather than allowed to remain unresolved.
  • Confidentiality: Protected health information and confidential business information must be handled securely and disclosed only to authorized individuals.

Knowledge, Skills & Abilities:

  • Thorough knowledge of medical terminology, anatomy, physiology, grammar, spelling, punctuation, and medical-documentation standards.
  • Knowledge of medical records procedures, medical office workflows, HIPAA requirements, and appropriate handling of confidential information.
  • Working knowledge of health insurance and other payer sources, including workers’ compensation and medical-legal services.
  • Ability to review detailed instructions and source records, recognize omissions or inconsistencies, and determine whether the completed work satisfies the request.
  • Ability to organize competing priorities, monitor deadlines, maintain detailed tracking records, and complete assignments with minimal oversight.
  • Ability to recognize, investigate, and correct errors before reports or charges are finalized.
  • Strong written and verbal communication skills, including the ability to request clarification professionally and concisely.
  • Ability to establish and maintain effective working relationships with providers, coworkers, supervisors, requesting organizations, insurance representatives, vendors, patients, and the public.
  • Proficiency with word-processing, spreadsheet, electronic medical record, document-management, and related office systems.

Qualifications:

  • Associate degree or completion of a technical program in medical transcription, medical documentation, health information, or a related field; equivalent education and relevant experience may be considered.
  • Previous experience in medical transcription, medical documentation, medical records, workers’ compensation, IME/RME coordination, or medical billing preferred.
