The Data Systems Coordinator responsibilities include client data collection, analysis and reporting to regulatory agencies. Primary Job Responsibilities:
- Ensure that all client data required by regulatory agencies is input accurately and correctly within specified time frames including any data requests from EEC, DESE, or DDS.
- Compile, verify accuracy and sort information according to priorities to prepare source data for reporting or entry into external databases as required
- Access external clinical records, including psychiatry and urgent care systems, to ensure accurate upload of relevant information to the Guild’s electronic record.
- Review data for completion and compliance with all required fields
- Ensure that client data is submitted according to specified timelines and procedures
- Initiate and develop new intake records within the Guild’s electronic record system (iCentrix)
- Review and finalize the Incident reporting records within the electronic client records database
- Create reports, store completed work in designated locations and perform backup operations
- Create and present data analysis reports to program leadership, committee meetings, Guild programs
- Provide training and support for employees to use the electronic record, other data systems, and incident report writing during Pre-Service as well as an ongoing basis including all Guild sites
- Submit daily, monthly and quarterly restraint/injury data to external agencies (EEC/ DESE) in the allotted timeframes per regulations.
- Compile year-end data reports annually for the agency
- Ensure that all client data is protected according to HIPPA and FERPA standards
- Perform other related duties as assigned.
- Regular attendance at work, including during inclement weather
- Demonstrate mature judgment, strong interpersonal skills, investigative neutrality, and a desire to enrich individuals' lives and a willingness to learn from skilled professionals.
- Proficiency in written and spoken English is an essential function of the position.
- High school diploma required; additional computer training, coursework, or relevant certifications are considered an asset.
- Proven experience in data entry, office administration.
- Strong understanding of general administrative and office support functions.
- Exceptional typing speed and accuracy with a high level of data integrity.
- Excellent written communication skills, including strong spelling, grammar, and punctuation.
- Knowledge of incident and accident report writing and documentation practices.
- Demonstrated attention to detail and commitment to producing accurate work.
- Ability to handle confidential information with professionalism and discretion.
- Strong organizational and time-management skills, with the ability to prioritize tasks and maintain focus in a fast-paced environment.
- Must meet Massachusetts Criminal background check requirements.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint); experience with database management systems and data-entry software preferred

Salary : $50,000 - $55,000
