Position Summary
The Temporary Administrative Assistant provides short-term administrative and operational support to the Guest House with primary focus on Community Housing programs. This role will provide general administrative support to assist with daily departmental operations. The successful candidate will be highly organized, detail-oriented, and comfortable managing multiple administrative processes in a deadline-driven environment.
Essential Duties and Responsibilities
General Administrative Support
- Provide general administrative support to Guest House programs including data entry, correspondence, document preparation, and routine clerical tasks.
- Assist with scheduling, organizing information, and supporting daily office operations as needed.
- Respond to routine inquiries and route questions or issues to appropriate staff.
Records Management & Organization
- Organize electronic and physical files related to clients, leases, landlords, and vendors.
- Create, label, and maintain standardized file structures to ensure ease of access and consistency.
- Scan, file, and archive documents following departmental naming and retention conventions.
Compliance & File Auditing
- Audit departmental files to ensure completeness and compliance with organizational and regulatory requirements.
- Identify missing, outdated, or improperly filed documents and coordinate with staff to address gaps.
- Assist with preparation for internal reviews or audits by gathering and organizing required materials.
Qualifications/Training/Experience
- High School Diploma or GED required.
- Minimum of two (2) years of experience in an administrative support role required.
- Strong organizational skills with a high attention to detail.
- Proficiency in Microsoft Excel, Word, Outlook, and shared file systems.
- Ability to manage confidential information appropriately and professionally.
- Clear written and verbal communication skills.
- Ability to manage multiple tasks, prioritize work effectively, and meet deadlines in a fast-paced environment.
