ABOUT THE GROVE
The Grove exists to support and empower families. We're a Membership-based family club in Charlotte, built for kids and designed for adults: a place where families gather, kids grow through thoughtful programming, and parents actually get to enjoy the third space too, cafe in hand. Since opening in January 2024 we've grown into a thriving community of Member families, with our second location on the horizon in Charleston. We grow through relationships and referrals, not marketing, and every person on our team helps carry that feeling of belonging.
THE ROLE
The Assistant Director of Operations is the execution engine behind The Grove's operational rhythm. You'll own the systems, workflows, and recurring processes that keep the club running smoothly, from the monthly programming calendar to bi-weekly staff scheduling, vendor coordination, and administrative operations. You'll work in close partnership with our Director of Operations, taking real ownership of day-to-day execution so the Director can focus on leadership, strategy, and culture.

It is an operational ownership role with real scope, built for someone who finds deep satisfaction in well-run systems, takes pride in deadlines met and logistics handled, and brings genuine warmth to their work with colleagues and Members alike. WHAT YOU'LL OWN
Operational Rhythm
• Build and publish the monthly programming calendar end-to-end: collect from department leads by the 1st, coordinate with partners, build in Mindbody and Google Calendar, publish by the 15th
• Lead bi-weekly staff scheduling across all departments: availability, schedules, shift coverage, time-off requests, timesheets, and team communication
• Prepare weekly leadership meeting agendas and document action items across Admin, Membership, and department lead meetings
Facility and Day-to-Day
• Support daily facility oversight: opening and closing procedures, walkthroughs, space readiness, safety and cleanliness standards
• Serve as the on-site operational point of contact for Member concerns and staff questions when the Director is unavailable
• Assist with vendor and facility management: vendor check-ins, supply orders, routine maintenance coordination
Administration and Systems
• Manage administrative workflows: email and Slack inbox support, document processing, cross-departmental coordination, calendar maintenance
• Support monthly invoice and receipt processing: collect vendor invoices, review against budgets, route for approval
• Contribute to SOP development and documentation in Google Drive
• Coordinate partnerships and community collaborations in support of programming leads
People
• Support hiring and onboarding for front-line and hourly roles: posting, screening, interview coordination, onboarding logistics
• Assist with quarterly performance review preparation and help information flow clearly across leads and staff
WHO YOU ARE
• 3 years in education, operations, office management, hospitality coordination, or a comparable multi-functional role
• Proven at managing recurring deadlines and complex logistics; calendar coordination, scheduling, and vendor management are core to this role
• Highly organized with sharp attention to detail; you thrive on recurring systems and processes
• Warm, professional communicator with team members and external partners alike
• Proficient with Google Workspace and Slack, comfortable with scheduling or POS platforms, quick to learn new software
• Genuinely enthusiastic about The Grove's mission and a family-centered environment
Bonus points for experience in a membership club, boutique fitness, or premium hospitality setting; familiarity with Mindbody, Sling, or Toast; a background in event coordination or early childhood environments; or SOP writing experience.
The role is primarily floor- and desk-based with frequent movement throughout the facility, lifting up to 30 lbs, in an active, high-energy environment with children and families present.
COMPENSATION AND BENEFITS
