Business Administration Manager

The Graphic Cow is looking for an experienced Business Administration Manager to take ownership of the administrative backbone of our business.
This is a hands-on role for a dependable, highly organized professional who is comfortable managing accounting processes, administering HR responsibilities, coordinating compliance requirements, and making sure important details and deadlines don't fall through the cracks.
The right person will enjoy the variety that comes with working in a privately held business. On any given day, you might work on month-end accounting, resolve an accounts receivable issue, coordinate an employee benefit question, work with an outside professional partner, complete a licensing requirement, or improve an internal process.
This is an excellent opportunity for someone who likes having broad responsibility, independence, and ownership rather than working within a narrowly defined corporate function.
What You'll Be Responsible For -
Accounting & Financial Administration
- Manage most day-to-day accounting processes, including accounts payable, accounts receivable, bank and credit-card reconciliations, cash management, customer collections, journal entries/general ledger maintenance, payroll accounting, and management reporting.
- Own the company's internal month-end accounting preparation and coordinate with our outside accounting firm to complete the monthly close.
- Oversee accounts receivable activities across related entities.
- Manage weekly payroll and related accounting entries.
- Manage sales tax reporting, compliance, and payments across multiple jurisdictions.
- Coordinate with outside accounting, tax, and software partners.
Human Resources Administration
- Serve as the company's primary internal HR administrator.
- Manage employee onboarding and offboarding, payroll administration, employee records, benefits enrollment and administration, workers' compensation, and other employment-related processes.
- Administer health insurance and 401(k) programs.
- Work with our outside HR consultant on compliance, policies, and strategic HR matters.
Licensing & Compliance
- Manage collegiate and other product licensing administration, including applications and renewals, artwork approvals, royalty calculations and reporting, payments, audits, and compliance requirements.
- Coordinate administration of company trademarks, copyrights, and other intellectual property with outside partners.
Office & Business Administration
- Provide overall administrative management of our Greenville headquarters.
- Coordinate company insurance policies and renewals.
- Manage selected vendors, contracts, office supplies, and other administrative needs.
- Identify opportunities to improve processes, strengthen internal controls, and simplify or automate recurring work.
What We're Looking For -
Required
- Bachelor's degree in Accounting, Finance, Business Administration, or a related field, or an equivalent combination of education and relevant experience.
- At least 5 years of relevant experience in accounting, bookkeeping, business administration, or a similar role involving multiple administrative functions.
- Strong working knowledge of small-business accounting, including A/P, A/R, reconciliations, general ledger activity, payroll, and month-end processes.
- Experience administering payroll and working with accounting and payroll systems.
- Strong Excel and Microsoft Office skills.
- Exceptional organization, accuracy, attention to detail, and follow-through.
- Ability to independently manage multiple responsibilities and recurring deadlines.
- Excellent judgment, integrity, and discretion when handling confidential financial and employee information.
- Strong written and verbal communication skills.
Especially Valuable
- Experience in a privately held small or mid-sized business where you've worn multiple hats.
- HR administration and employee benefits experience.
- Sales tax reporting and compliance experience.
- Licensing, royalty reporting, intellectual property, or other compliance-related experience.
- Experience improving administrative processes or internal controls.
- Apparel, screen printing, or promotional products industry experience is helpful but not required.
