Overview
The Grand Resort & Spa—South Florida’s premier all-male, clothing-optional luxury resort—is seeking a detail-oriented and highly organized Administrative Office Assistant to support daily operations across multiple departments. This role plays a key part in guest satisfaction, staff coordination, and efficient office workflow. The ideal candidate is proactive, professional, tech-savvy, and comfortable working in a fast-paced hospitality environment.
Essential Duties & Responsibilities
Responsibilities include, but are not limited to:
Guest & Front Office Support
- Provide exceptional service via phone, email, and in person; assist with inquiries, reservations, and general information.
- Support front office operations and collaborate with Front Desk teams to ensure smooth guest arrival and departure experiences.
- Maintain guest confidentiality and follow all communication protocols.
Administrative & Clerical Tasks
- Maintain accurate records, documents, and digital files.
- Prepare schedules, memos, reports, and internal communications.
- Assist with inventory checks, ordering supplies, and vendor coordination.
- Support HR tasks such as onboarding paperwork and personnel file organization (light support only).
- Manage incoming/outgoing mail, deliveries, and office logistics.
Operational Coordination
- Assist managers in Food & Beverage, Housekeeping, and Front Office with administrative follow-ups and task tracking.
- Monitor guest feedback channels and compile information for management (mirroring expectations from F&B JD).
- Support daily workflow by maintaining a clean, organized, and efficient office environment.
Other Duties as Assigned
- Flexibility to assist other departments during peak business periods.
- Must be able to work weekends and holidays based on operational needs.
Qualifications
Knowledge, Education & Experience
- High school diploma or equivalent required.
- Previous administrative or hospitality experience preferred.
- Strong written and verbal communication skills.
- High attention to detail, accuracy, and organization.
- Ability to maintain professionalism and composure under pressure (aligned with Front Office JD).
Computer Skills
- Proficient in Microsoft Office (Word, Excel, Outlook).
- Experience with hotel PMS (Opera Cloud preferred).
- Comfortable learning new software quickly.
Physical Requirements
- Ability to stand, walk, sit, and move around the property as needed.
- Must be able to lift up to 20 lbs occasionally.
- Ability to multitask and remain efficient in a busy environment.
Work Environment
- Office setting within an active resort environment.
- Moderate noise level; frequent interaction with guests and staff.
- Must be comfortable working at an all-male, clothing-optional gay resort.
