Word Processing / Project Service Center Specialist
Location: Newark, NJ
Schedule: Two openings available:
Monday–Friday, 9:00 AM–5:00 PM // Monday- Friday 2:00 PM-9:00 PM
A leading law firm is seeking an experienced Word Processing / Project Service Center Specialist to provide advanced document production and administrative support to legal and professional staff. The ideal candidate will have strong Microsoft Office skills, exceptional attention to detail, and experience working in a fast-paced, client-service environment.
Key Responsibilities
- Create, revise, format, and proofread complex legal and business documents using advanced Microsoft Office 365 skills, particularly Word, Excel, PowerPoint, Visio, and Outlook.
- Perform advanced document formatting, including Tables of Contents and Authorities, cross-referencing, bookmarks, hyperlinks, Track Changes, mail merge, redline/blackline comparisons, styles, and numbering.
- Convert, clean, format, and troubleshoot documents across applications, including corrupted files, using tools such as Litera Change-Pro, Adobe/Nuance, OCR/PDF software, DocXTools, Best Authority, and Hyperstyles.
- Perform transcription using recorded audio or software such as BigHand.
- Create PDF hyperlinks, electronic closing binders, and related Tables of Contents.
- Provide general administrative and project support, including time entry, copying/printing, and messenger services.
- Adjust work hours as needed to meet business and operational requirements.
Qualifications
- Prior experience supporting legal professionals or working in a law firm.
- Advanced proficiency in Microsoft Office 365, especially Word, Excel, PowerPoint, Visio, and Outlook.
- Minimum 5 years of administrative, word processing, document production, or related technical experience.
- Strong document formatting, proofreading, editing, conversion, and troubleshooting skills.
- Ability to learn and utilize specialized legal and document-production software.
- Knowledge of OCR/PDF conversion tools.
- Excellent written and verbal communication skills with a strong customer-service orientation.
- Ability to manage multiple priorities and deadlines in a professional, fast-paced environment.
- High school diploma or equivalent required.
Salary : $80,000 - $95,000
