The Full-Charge Bookkeeper is responsible for managing the day-to-day accounting operations of the company and maintaining accurate financial records across multiple business entities. This position oversees the full accounting cycle, including accounts payable, accounts receivable, payroll, bank reconciliations, journal entries, month-end close, and financial reporting.
The ideal candidate is detail-oriented, highly organized, trustworthy, and capable of working independently in a fast-paced healthcare environment. This role requires strong analytical skills, initiative, professionalism, and a commitment to maintaining accurate financial records in accordance with Generally Accepted Accounting Principles (GAAP).
Primary Responsibilities
- Manage the full-cycle bookkeeping process for multiple business entities.
- Maintain accurate financial records using QuickBooks Online.
- Record, categorize, and reconcile daily financial transactions.
- Download and reconcile bank and credit card transactions.
- Manage accounts payable, ensuring vendors are paid accurately and on time.
- Manage accounts receivable and assist with collections as needed.
- Prepare and post general ledger journal entries.
- Complete monthly bank, credit card, and balance sheet reconciliations.
- Assist with month-end and year-end closing activities.
- Prepare monthly financial statements, including:
- Profit & Loss Statement
- Balance Sheet
- Statement of Cash Flows
- Review financial records for accuracy and resolve discrepancies.
- Maintain organized accounting records and supporting documentation.
- Process employee expense reimbursements.
- Maintain inventory accounting records and perform reconciliations as applicable.
- Prepare and file Washington State excise tax returns and other routine business filings, as applicable.
- Prepare annual 1099 forms and maintain vendor W-9 documentation.
- Ensure compliance with company accounting policies and GAAP.
- Support the company's outside CPA by preparing financial reports and requested documentation for tax preparation, year-end reporting, and financial reviews.
- Assist in improving accounting procedures and maintaining established internal controls.
- Identify unusual account variances and report findings to management.
- Respond to accounting-related questions from management in a timely and professional manner.
- Perform additional accounting and administrative duties as assigned.
Secondary Responsibilities
- Process bi-weekly payroll in coordination with the company's third-party payroll provider.
- Reconcile payroll reports to the general ledger.
- Assist management by preparing financial reports and historical data for budgeting purposes.
- Maintain vendor files, licenses, permits, and other accounting documentation.
- Support annual insurance audits, financial reviews, and other routine compliance requests.
- Cross-train with administrative staff to provide accounting support when needed.
- Assist with special accounting projects as assigned.
Qualifications
- Minimum of 3 years of full-charge bookkeeping or equivalent accounting experience.
- Advanced proficiency with QuickBooks Online.
- Strong understanding of Generally Accepted Accounting Principles (GAAP).
- Experience preparing monthly financial statements.
- Experience processing payroll and payroll reconciliations.
- Strong knowledge of accounts payable, accounts receivable, and general ledger accounting.
- Experience performing bank and credit card reconciliations.
- Experience preparing and filing Washington State excise tax returns is preferred.
- Proficiency in Microsoft Excel, including formulas, sorting, filtering, and PivotTables.
- Excellent organizational, analytical, and problem-solving skills.
- Strong written and verbal communication skills.
- High level of integrity with the ability to maintain confidentiality.
- Ability to manage multiple priorities while meeting deadlines.
- Ability to work independently with minimal supervision.
Preferred Qualifications
- Associate's or Bachelor's degree in Accounting, Finance, or a related field (or equivalent work experience).
- Experience in a medical practice, plastic surgery, dermatology, medical spa, or other healthcare environment.
- Experience managing accounting for multiple business entities.
- Experience with inventory accounting.
- Experience working with third-party payroll providers.

Working Conditions
- Full-time position. In Office - No remote work.
- Standard schedule is Monday through Friday. Additional hours may occasionally be required during payroll processing, month-end, year-end close, or special projects.

- Must successfully pass a criminal background check.
