Role Description The Patient Coordinator / Front Desk role is a full-time, on-site position based at The G Spa in San Francisco, CA. This role is responsible for greeting clients, checking them in and out, managing the front desk area, and ensuring a welcoming and efficient experience. Daily tasks include answering phone calls, responding to inquiries, scheduling and confirming appointments, and maintaining accurate patient records. The Patient Coordinator supports providers by preparing charts, verifying basic information, and coordinating the flow of patients through the clinic. Additional responsibilities include processing payments, handling forms, assisting with client communications, and collaborating with the team to maintain a clean, organized, and professional environment.
Qualifications
- Strong communication skills, including clear verbal and written communication and a client-centered, professional demeanor.
- Proficiency in phone etiquette and receptionist duties, including managing multi-line phone systems, greeting clients, and directing inquiries.
- Experience with appointment scheduling, including booking, confirming, and rescheduling visits and managing calendars or scheduling software.
- Basic knowledge of medical terminology or willingness to learn to support accurate communication with clients and providers.
- Excellent organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.
- Comfort with computer systems, electronic scheduling tools, and basic data entry; experience with medical or spa software such as Zenoti is a plus.
- Prior experience in a medical office, spa, or customer service role is preferred but not required.
- Dependable, punctual, and able to maintain confidentiality and comply with privacy and clinic policies.
