A Day In The Life
The Executive Administrative Assistant supporting SVP Leadership must have the ability to manage complex priorities while balancing long-term initiatives with the pace of day-to-day operations. This role requires strong judgment, discretion, and the ability to handle highly confidential information while serving as a liaison between senior leadership and internal and external stakeholders.

As a Exec Admin Assistant you will:

  • Take action as directed to support senior leadership, often in situations involving sensitive and confidential matters. Act on behalf of senior leadership, exercising judgment to handle requests, route actions appropriately, and follow up to ensure completion. Provide updates on actions taken and outcomes. Participate in or lead initial meetings with internal and external stakeholders as a representative of senior leadership.
  • Provide support for executive staff and key meetings, including preparation of materials, coordination of logistics, and documentation of meeting outcomes. Prepare and edit correspondence, communications, presentations, and other documents. Conduct research and assemble and analyze data to support reports and decision-making.
  • Coordinate and organize all aspects of meetings attended by senior leadership, including capturing and distributing key takeaways and action items as appropriate.
  • Manage and maintain complex schedules, appointments, and travel arrangements for senior leadership. Coordinate meetings and events to ensure alignment with priorities and efficient use of time. Compile and reconcile travel-related expenses.
  • Provide general administrative support, including: * Meet and greet visitors * Answer, screen, and place phone calls * Research and collect information and data * Prepare and edit memos, letters, reports, and proposals * Develop graphics and spreadsheets * Prepare and process invoices and related documentation * Copy, distribute, and manage communications * Safeguard confidential and proprietary information * Organize, maintain, and manage files and databases * Prioritize incoming materials to support leadership focus * Route correspondence appropriately * Ensure outgoing materials are accurate, compliant, and aligned with leadership expectations
  • Support alignment and coordination across administrative teams to improve overall efficiency.
  • May occasionally supervise temporary associates or other administrative personnel supporting senior leadership.

What We Need From You

  • High School Diploma or general education degree (GED) Req
  • 7-9 years related experience and/or training; or equivalent combination of education and experience. Required
  • 4-6 years experience providing support at the executive level. Required
  • Ability to apply common sense.

Physical and Environmental RequirementsThe physical requirements described here are representative of those that must be met by an associate to successfully perform the essential functions of the job. While performing the duties of the job, the associate is required on a daily basis to analyze and interpret data, communicate, and remain in a stationary position for a significant amount of the work day and frequently access, input, and retrieve information from the computer and other office productivity devices. The associate is regularly required to move about the office and around the corporate campus. The associate must frequently move up to 10 pounds and occasionally move up to 25 pounds.

Travel Requirements
20% domestic travel as needed.
