What are the responsibilities and job description for the Event Coordinator position at The Forum Complex?
As the in-house Events Coordinator, you will be responsible for prospecting, planning, managing and executing successful onsite private events. Most importantly, this position requires the utmost cooperation and collaboration with other employees, clients, and management within the venue, as well as outside vendors, to ensure each event meets and exceeds client expectations.
Responsibilities of the Event Coordinator include, but are not limited to:
- Meeting with prospective clients to tour the facilities, discuss event details/needs to best understand, manage, and coordinate their event.
- Ensuring each event is planned and executed according to the agreed-upon banquet event order (BEO), including all event aspects such as VIP needs, amenities, in house catering, room schematic, audio/visual package, entertainment, and all other details.
- Collecting required deposits according to all timelines outlined in the event contract. It is also the Event Coordinators responsibility to make detailed notes for each event in designated event planning software, as well as documenting all conversations with the client.
- Communicating with others in a clear manner as to convey accurate details for proper execution across all departments and the venue, including staffing requirements, room setup, food and beverage needs, etc.
- Providing "Day of" services including room setup, technology needs, execution of other details required for the event.
- Providing excellent customer service to all clients and those you come in contact with. Excellent customer service skills will help you solve issues before they become problems and help create customer loyalty.
- Creating and nurturing mutually beneficial relationships with event vendors and other potential referral sources.
- Following up promptly with all incoming leads from multiple sources. Includes addition of lead into CRM, documenting lead details, and maintaining communication prior to and after their event
- Efficiently work a database to build and nurture relationships with new, repeat, and past clients.
- Prospecting for new clientele for events through relationship building and business to business connections. The Event Coordinator will also be required to attend Networking Events on a regular basis to help build those relationships and generate leads.
- Compiling data for weekly reporting to management and Owners.
Skills and Requirements include but are not limited to:
- A "Whatever it Takes" to get the job done attitude! This is not a 9-5 job and requires your flexibility and willingness to work a variety of shifts which may include nights and weekends.
- Ability to exhibit grace under pressure. Sometimes things go wrong! It'll be up to you to keep a smile on your face and figure it out!
- Extreme attention to detail is a must! Paying attention to details will help reduce and eliminate hiccups the day of the event.
- Ability to upsell clients, while promoting a level of service parallel to the luxury stature of the facility
- Strong analytical and critical thinking skills to be able to solve problems that may come up during an event or typical workday.
- Ability to work well with diverse personalities of clients and team members.
- Time management and the ability to prioritize are essential.
- Excellent critical thinking & decision-making skills.
- Excellent verbal, listening, and writing skills.
- Excellent computer skills are required, specifically company spreadsheets, and other company computer applications, including our POS system.
