Job Summary
The Administrative Specialist keeps FBNC's daily office operations running smoothly, with a particular focus on tracking accounts payable and donation processing through to our bookkeeper, maintaining accurate records, and serving as the first point of contact for visitors, donors, and volunteers. This role also provides light communications support (social media posting, basic graphics) as capacity allows, but the core of the job is administrative accuracy and follow-through.
This role is ideal for someone highly organized and detail-oriented who takes ownership of "did this actually get done,” someone who will notice if an invoice is stuck or a donation hasn't been logged, and chase it down without being asked.
Qualifications
- Experience with accounts payable/receivable, bookkeeping-adjacent work, or office administration required
- Strong organizational skills and follow-through on multi-step processes
- Comfortable with data entry and maintaining accuracy across systems (donor database, invoice tracking, filing)
- Proficiency with Google Workspace and Microsoft Office
- Excellent customer service: first point of contact for visitors, donors, and volunteers
- Comfortable learning donor management software
- Nice to have: familiarity with social media platforms, basic writing/editing, or Canva — not required, but a plus
- Commitment to equity, inclusion, and service with dignity
Responsibilities
Financial & Office Administration
- Process incoming invoices; route to and track status with the Agency's bookkeeper through to payment
- Log and record incoming donations accurately; route to the bookkeeper and confirm deposits are reconciled
- Maintain and reconcile donor records in the donor database
- Serve as first point of contact for visitors, phone, and email inquiries
- Maintain organized physical and digital filing systems; digitize records as needed
- Order and maintain office supplies
- Schedule meetings and prepare meeting materials
- Maintain confidentiality of donor, client, volunteer, and organizational information
Communications Support
- Post pre-approved content to social media on a regular schedule
- Prepare routine donor acknowledgment letters from templates
- Create basic graphics using Canva for internal or event use
- Support event logistics (registration, materials) on an as-needed basis
Physical Requirements & Working Conditions
- Primarily office-based; occasional support of warehouse or event operations
- Occasional evening or weekend hours for events
- Ability to lift up to 30 pounds for event or office supply setup
