Job Overview
We are seeking a highly motivated and experienced IVF/Fertility Patient Coordinator–Medical Receptionist to join our dedicated fertility clinic team. Responsibilities
- Greet and check-in patients with enthusiasm, providing outstanding front desk support and ensuring a positive first impression
- Handle incoming emails, telephone and text messages and calls related to the extensive fertility services we offer.
- Manage patient scheduling using fertility based EMR (Electronic Medical Records) systems such as Artisan and eIVF, coordinating appointments for fertility procedures and consultations
- Verify patient insurance coverage, process medical billing, and handle collections efficiently while maintaining compliance with HIPAA regulations
- Review and update medical records, ensuring accuracy and confidentiality in accordance with clinical confidentiality policies
- Assist with documentation review, follow up on billing and fee estimates
- Facilitate communication between patients and clinical staff via phone, email, and in-person interactions; demonstrate excellent phone etiquette and customer service skills
- Support clinical staff by managing care plans documentation, medical records filing, and maintaining organized health information management systems
- Current or very recent work in a fertility practice mandatory
Skills
- Extensive experience with fertility based EMR/EHR systems
- Knowledge of medical terminology, CPT coding, ICD coding (ICD-9/10), and medical billing procedures specific to fertility clinics
- Familiarity with health insurance processes involving private insurance verification. Assist with billing follow ups
- Bilingual abilities are highly desirable to serve diverse patient populations effectively
- Proven clinic experience in a healthcare setting—specifically within reproductive medicine or fertility clinics—demonstrating familiarity with medical office management and front desk operations
- Excellent computer skills including Microsoft Office Suite; capable of typing accurately at 10-key speed for data entry tasks
- Exceptional organizational skills with attention to detail in documentation review and filing processes
- Strong interpersonal skills to provide compassionate patient service while adhering to clinical confidentiality policies
- Ability to multitask efficiently in a fast-paced environment while maintaining professionalism and positive attitude
