Position Summary: The Farms Golf Club, a prestigious private country club, is seeking a detail-oriented and highly organized Club Accounting & Member Relations Coordinator to support the club’s financial operations, membership billing, reception, and general administrative functions. The ideal candidate will combine accuracy in accounting with a professional, member-focused approach to communication and service.
Job Tasks/Duties:
Accounting & Finance
- Process and assist coding vendor invoices in Ottimate, ensuring proper approvals and timely payment.
- Reconcile vendor statements, resolve discrepancies, and maintain vendor files.
- Post and reconcile member charges and payments in Clubessential.
- Manage Accounts Receivable, including posting payments and assisting in tracking past-due invoices.
- Prepare and distribute monthly member statements and correspondence notices as needed.
- Assist with 1099 preparation, ensuring vendor compliance and timely year-end reporting.
- Support the Controller with journal entries, month-end close, and financial reporting.
Membership Services
- Respond promptly and professionally to member billing questions and account inquiries, including setting up members for online bill pay.
- Maintain up-to-date member account records in Clubessential.
- Enter new members into Clubessential.
- Assist in monthly membership letters.
Reception & Administrative Support
- Back up for answering and directing incoming phone calls in a professional and courteous manner when needed.
- Greet members, guests, and vendors, ensuring a positive first impression of the club.
- Manage incoming and outgoing mail, deliveries, and general inquiries.
Board & Committee Support
- Provide administrative support for board and committee meetings as assigned.
- Maintain organized archives of meeting records and documentation.
Human Resources
- Serve as back up for new hire onboarding, including fathering documents, setting up employee files, and ensuring proper system access.
Completes other appropriate assignments from the Controller.
Performs other duties as assigned, requested, and deemed necessary by management.
Qualifications:
Education & Experience
- 2–4 years of experience in accounting, office administration, or membership services.
- Strong organizational skills with the ability to balance multiple priorities.
- Excellent verbal and written communication skills.
- Proficiency with Microsoft Office, particularly Excel and Word.
- Strong attention to detail, accuracy, and professionalism.
Preferred
- Bachelor’s degree
- Experience in a private club, hospitality, or high-end service environment.
- Proficiency with Clubessential and Ottimate.
- Basic understanding of GAAP accounting principles.
- Experience preparing 1099s and working with year-end reporting requirements.
Work Conditions:
- Office-based role with regular interaction with members and staff.
- Ability to stand or sit for extended periods; must be able to lift up to 50 lbs.
