What are the responsibilities and job description for the Optical Lab Technician position at THE EYE INSTITUTE?
The Optical Lab support professional is responsible for supporting the clinics and the Lab Manager with eyewear production, inventory management, and online sales. Responsible for the Surfacing, Finishing and Production Maintenance of optical lab orders to meet quality standards, required service levels, and standards associated with unit cost and productivity. Manages incoming and return eyewear, skincare, and dry eye inventory for all clinics of The Eye Institute. Promotes and manages the Online Eyewear Store.
Principal Duties and Responsibilities (Essential Functions):
- Operate manual and automatic lensometers, edger's, blocker, tracer equipment to fabricate lenses
- Proven capability to oversee calibrations and minor repair of optical finishing equipment
- Thorough understanding of purpose and usage of optical tools used to mount lenses and repair and adjust all types of eyewear
- Ability to manage multiple account logins to order lenses under correct accounts
- Ability to discern the best products to order based on patient needs and cost of goods to the company
- Understands third party vision insurances to file eyewear claims, to properly charge the patient for out of pocket expenses for the purchase, and to send lab orders to third party optical labs
- Adjusts orders in point of sale system if the patient has been either overcharged or undercharged for the purchase
- Must have thorough understanding of optics and required measurements to know when an order is missing a key piece of information or if a recorded measurement doesn’t make sense. Must then use judgement to delay ordering a job until key questions are asked to ensure order has been entered properly
- Demonstrate thorough, concise, timely, and professional communication and documentation of communication, with opticians working in the clinics
- Identify recurring errors and report them to Lab Manager so that training and processes can be implemented to fix problems
- Maintain steady workflow to coincide with delivery time commitments to patients
- Ensures frames listed on frame order log are ordered daily, with proper documentation to facilitate communication with clinics
- Ensures frames are ordered with an effort to reduce shipping costs. This includes checking for frames in other TEI locations before ordering from vendors
- Ensure lab is clean and organized and lab equipment is properly cared for and cleaned
- Ability to interact and communicate with both internal and external customers at all levels
- Receives frame inventory for all locations and reconciles order to invoices
- Adds frame inventory to location inventory counts in point of sale system. Maintains strict attention to detail to all measurements, costs, and inventory counts when adding inventory
- Receives return inventory from locations and requests RAs for inventory returns
- Immediately processes returns to ensure timely financial credits to frame vendors
- Removes inventory from point of sale system for returns
- Participates in annual or semi-annual location inventory counts
- Manges all aspects of the online eyewear store. This includes online presence, promotion of platform, communication with customers, fulfillment of orders, and timely shipping and delivery of orders
- Photographs frames and maintains current images online
- Orders and maintains back stock of frames to fulfill online orders
- Sends periodic communications out to customer and patient base to promote online store
- Receives and processes all online frame orders. Must demonstrate ability to analyze images and measurements for accuracy as they are self-reported by customers
- Works closely with marketing team to promote online store
- Enforces OSHA and safety requirements; maintains OSHA compliance and MSDS
- Ability to spend most of the day on your feet
- Ability to be hands on and multi-task, prioritize and be flexible with changing business needs in a team environment.
- Completes all required forms.
- Performs other related duties as necessary.
Qualifications & Skills:
REQUIRED:
- High School Diploma/GED.
- 3 years in optical sales and prefer at least 1 year of optical lab experience or 2 years of optical lab experience
- Must be highly organized and detail oriented
- Must have a proactive ability to assess for operational and production deficiencies, rather than reactive to problems as they occur.
- Typing 25 wpm.
- Must be able to work evening and weekend hours as needed.
- Must be able to work in any location owned by The Eye Institute to maintain office coverage.
- Ability to be cross trained in other office duties to meet patient service needs.
- A willingness to serve others and a positive attitude toward team members, vendors, and patients is a must.
- Must be able to work in an environment where multiple conversations are occurring at the same time, machines operating in the background.
- Must be able to lift up to 50 pounds, bend, reach overhead, sit for up to 4 hours at a time, stand for up to 8 hours throughout the day, type on the computer and operate phone system simultaneously.
- Ability to read and comprehend complex instructions, short correspondence, and memos.
- Ability to write simple correspondence.
- Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
This position requires the ability to deal with confidential information and the ability to use discretion and judgement in a variety of situations. Maintaining confidentiality and HIPAA compliance is required at all times.
