What are the responsibilities and job description for the Parish Administrator position at The Episcopal Church of the Atonement?
Open Position: Parish Administrator
Reports to: Rector/Priest in Charge/Priest in Residence.
The Parish Administrator also works with members of the Vestry and its Finance, Building and Grounds, Outreach and Stewardship
Committees. As a Part- time position the PA is expected to work from the church office in Lauderdale Lakes for four days a week.
Status: Part-time (16 hours/week)
This position does not qualify for Health, Dental, Vision, Life Insurance.
Schedule: 4 days per week, 9:00 a.m - 1:00 p.m. (this is negotiable)
Pay rate: $20/hour
Administrative Functions:
Serve as receptionist by managing phone calls greeting parishioners and assisting visitors/guests. Handle office email correspondence.
Assist the Altar Guild, Acolytes, Lectors, and other Lay worship leaders by coordinating assignments for worship services and preparing worship materials
Maintain accurate parish membership records and parish filings and institute policies and processes which keep the records up-to-date and reliable.
Assist with maintaining and updating church management software database
Assist with sacramental record keeping.
Oversee mailings including memorial letters, thank you letters, newcomer letters etc.
Assist in ordering and coordination of both pastoral flowers and Altar flowers.
Maintain contracts for Copy Machine, phones and IT,
Schedule maintenance as needed.
Order Office Supplies, including paper, printer ink
cartridges, folders as needed etc.
Maintain relationship with Office Supplies Vendors.
Maintain functionality and viability of workstations and system architecture including all software and hardware.
Prepare and print weekly worship bulletins for Sundays, Holy days, weddings, funerals, memorial services, baptisms and other services.
Intercede with the City of Lauderdale Lakes or other Government entities on the church’s behalf.
FINANCIAL FUNCTIONS
Preparation of annual budget, in cooperation with the treasurer and finance committee and with input from staff and committees.
Enter Annual Pledges in QuickBooks
Continuously update customer info in QuickBooks (name addresses, phone, email, Pledge number etc.
Enter new Vendor as appropriate
Review member statements in October and reach out
to Parishioners to apply any credits on their account.
Prepare Invoices to be paid with appropriate backup and approvals and input in the accounting system for payment
Pay bills online as appropriate.
Resolve Billing issues with Vendors.
FACILITY MANAGEMENT
Assist with building rentals, including contracts, coordinating and scheduling.
Annually review comprehensive insurance coverage.
Primary support for relationships with contractors, including scheduling and coordination via email
and phone.
Work with the junior Warden to coordinate

Manage special projects assigned by the Rector or the Vestry.
.Required Qualifications
:Minimum 2-year experience in non-profit operations or similar role.
Experience managing staff, volunteers and facilities while also working with Vestry and Clergy.
Strong verbal and written communication skills, finance and management skills.
Proficiency with computer systems, including Microsoft Office, Google Workspace, financial software, (QuickBooks), and membership databases.
Comfortable with technology and standard office equipment.
Ability to work with other staff members, members of the congregation, vendors and visitors.
Organized and Detail-Oriented: Ability to manage many minute details while keeping the big picture in mind.
Collaborative and Trustworthy: Builds good relationships, listens well, and is reliable and honest in all communication.
Effective Time Management: Efficiently manages schedules and prioritizes tasks.
