Risk Management Administrator

SUMMARY: Support the Risk Manager in identifying, evaluating, and controlling loss exposures. Collaborate across departments including Operations, Safety, Labor Relations, Estimating, Legal, and Accounting to integrate risk management practices and ensure comprehensive oversight.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
  • Generally assist the Risk Department in the development and enforcement of safety and compliance policies designed to manage the loss exposure for company assets;
  • Manage incoming COI database from subcontractors and third parties to ensure compliance with contractual obligations, expiration dates, and project coverage;
  • Acquire, review, and distribute Dutra COIs under contract through Marsh brokerage team;
  • Update, curate, and regularly distribute Dutra’s Approved Driver List to relevant stakeholders and manage Dutra’s Employer Pull Notice Program;
  • Coordinate and distribute registration and renewals for Dutra’s auto fleet;
  • Compile and submit renewal applications for bi-annual State/Federal Certificates of Financial Responsibility (COFR) for qualifying vessels;
  • Assist Risk Manager and Safety Manager in incident investigations, data collection and documentation;
  • Assist Risk Manager and Safety Manager in reviewing, compiling, and submitting annual OSHA 300 and 300A forms;
  • Coordinate with Operations divisions to track project progress and asset locations, coordinate with Risk Manager to provide underwriters appropriate notice (i.e. tandem tows, technical tows, severe weather, etc.);
  • Attend quarterly Jones Act/Longshore/Workers’ Compensation claim reviews alongside Risk Manager;
  • Assist Risk Manager in the preparation of material and evidence for use in hearings, lawsuits, and insurance investigations;
  • Assist Risk Manager in preparing for Jones Act/Longshore/Workers’ Compensation audits;
  • Prepare agenda/materials for and attend the monthly Safety Leadership Meeting;
  • Organize and maintain Risk Department files;
  • Attend annual policy renewal meeting with Marsh to discuss updates to policies and rates;
  • Travel to vessel/jobsite locations as necessary to participate in audits and incident inspections;
  • Travel to conference/annual meeting locations as necessary to participate in renewal negotiations; and
  • Perform other activities as directed by the Risk Manager.

QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   • Education/Experience: Bachelor’s Degree in Safety and Health, Political Science, or related field, or at least two years relevant experience in risk management and compliance.
  • Language Ability: ability to effectively communicate and respond to questions from manager, clients, regulatory agencies, and internal team. Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to convey both written and oral information professionally and clearly across various audiences. Ability to complete written reports and audits, fill out official forms and documentation, and draft inter-office communications.
  • Reasoning Ability: ability to apply common sense understanding to carry out instructions furnished in written, oral, diagram, or schedule form. Ability to deal with problems involving several concrete variables in standardized situations.
  • Computer Skills: to perform this job successfully, an individual should have strong knowledge and experience with Excel and other Microsoft Office software including Outlook and Word. Vista Viewpoint and MobileOps experience preferred, but not required. Python and Visual Basic experience preferred, but not required.
  • Physical Presence: Regular and predictable physical presence in the corporate office and in the field on various vessels is an essential qualification.
SUPERVISORY RESPONSIBILITIES: This position directly supports the Risk Management Department under the direction of the Risk Manager.

  • Vessels/Equipment Yard/Project Site conditions: The noise level in the work environment is moderate to high depending on location and ongoing activities. Minimum to moderate physical exertion and varying exposure to the elements.

  • The employee is occasionally required to stand, walk, ascend or descend stairs, and embark or disembark various vessels.
