Position Overview
The Dental Office Manager / Treatment Coordinator is responsible for leading the front office team, optimizing the schedule, and driving case acceptance and collections. This is a leadership and performance-based role, not just an administrative position.
Key Requirement: Fluent in English and Spanish to assist patients, coordinate treatment, and manage front desk operations
Key Responsibilities
Revenue & Production
- Monitor and drive daily, weekly, and monthly production goals
- Maintain a collection rate of 98%
- Actively follow up on unscheduled treatment plans
Treatment Coordination
- Present treatment plans clearly and confidently
- Explain insurance benefits and patient financial responsibility
- Offer financing options and overcome objections
- Drive high case acceptance rates
Scheduling & Operations
- Maintain a productive, goal-oriented schedule
Insurance & Billing Oversight
- Verify insurance accurately prior to appointments
- Ensure timely and accurate claim submission
- Track and resolve claim delays and denials
- Oversee payment posting and account accuracy
Leadership & Team Management
- Conduct daily huddles and team meetings
- Enforce policies including attendance and punctuality
- Lead and hold front office team accountable
Patient Experience
- Deliver a high-level, professional patient experience
- Handle patient concerns and resolve issues effectively
- Build long-term patient relationships and retention
Qualifications
- Minimum 1 year(s) dental office experience (management or treatment coordination preferred)
- Strong understanding of insurance, billing, and case presentation
- Proven ability to drive production and collections
- Excellent communication and leadership skills
- Highly organized, dependable, and results-driven
