The Patient Coordinator plays a dual role: they are an active, full-time contributor to all daily front office functions and a go-to resource for their team. This role ensures that every patient receives an exceptional, stress-free experience from check-in to check-out while supporting team members with guidance, coaching, and real-time problem-solving.
The Patient Coordinator helps keep the front office running smoothly by modeling best practices, reinforcing training, and communicating both positive and constructive feedback to management. Their ultimate goal is to foster a productive, collaborative front office that benefits both patients and the team.
Primary Responsibilities
Day-to-Day Front Office Duties
- Perform all standard Patient Coordinator responsibilities, including:
- Patient check-in and check-out
- Scheduling new, returning, and emergency patients according to company guidelines
- Insurance verification and prior authorization requests
- Processing payments and maintaining accurate ledgers
- Answering and directing phone calls in a professional, friendly manner
- Maintaining patient records with complete and accurate information
- Following all company protocols for claims, billing, and appointment confirmations
- Contribute equally to front desk coverage, ensuring no gaps in service.
Leadership & Coaching
- Serve as the first point of contact for front office questions or issues during the day.
- Provide real-time coaching and guidance to team members, helping them follow protocols and resolve challenges.
- Model excellent patient service and operational efficiency in every interaction.
- Share best practices, tips, and process reminders during daily huddles and throughout the day.
- Support onboarding and training for new hires by demonstrating processes and reinforcing company standards.
Communication & Coordination
- Keep the Practice Administrator informed of notable team performance, patient feedback, and operational concerns.
- Relay positive recognition to management when team members excel.
- Partner with the Office Manager to address workflow issues or training needs without stepping into a disciplinary role.
- Assist with schedule monitoring, identifying gaps or problem areas before they impact patient flow.
