What are the responsibilities and job description for the Information and Compliance Specialist position at The Counseling Center of Columbiana County?

OVERVIEW:
Position requires a very detail-oriented, reliable, and organized individual with a clear understanding of the importance of information management. The Information Support Specialist requires the ability to synthesize information drawn from agency internal and external databases and/or departments and skills in entering the data using the agency computer software systems, including MS Office Suite, web-based forms, and/or navigating online databases.
Data Processing:
Perform a wide variety of tasks utilizing current computer related technology, including Microsoft Office programs, Streamline/EHR, Office 365, and SharePoint to assist in extracting, compiling, reviewing, formulating and/or distributing data to requesting parties, which may also include reports, charts, database searches, graphs, macros, pivot tables and other data visualizations, and maintenance of such in electronic files and/or records. These reports are required by such regulatory bodies as CARF, the Ohio Dept. of Behavioral Health, independent auditors, or the Columbiana County MH & Recovery Services Board. Assist senior leadership, as needed or by special requests, in the analysis or production of priority projects and assignments. Responsibilities for tasks related to most reports and surveys may be performed on a monthly, quarterly, semi-annual, and/or annual basis.
Internal & External Communication Projects:
Assist in Center website as well as maintaining, updating and creating LinkedIn, Facebook and various other social media posts. Maintain agency Room Utilization calendar. Assumes primary responsibility for creating/managing Center’s SharePoint Page. Manage and maintain Center telephone and fax system. Consistently provides feedback to supervisor concerning new information job related problems that may interfere with, or alter, the established methods of procedures utilized by agency mgt., IT, and/or clerical support staff.
Typing/Clerical Support:
General typing/correspondence and maintenance of both electronic and hardcopy forms of such records as Counseling Center Board of Trustees board meeting minutes, and various CARF required documents. Duties include form completion, evaluations, updating and tracking of various directories, lists, surveys, descriptions, notices, memos, certificates, policies, manuals, various staff phone lists, business cards, employee badges etc., will be efficiently and accurately completed, distributed, and/or filed within specified time frames. Professionally respond to telephone calls assisting client(s), outside agencies, and co-workers as needed, and/or efficiently receive, send, or distribute agency faxes or emails, as applicable. Consistently act as a liaison between the Center to various outside agencies. Taking meeting minutes, or assisting in meetings, including preparations/set-ups, etc.
Graphic Design
Design & maintain graphic material such as business cards, flyers, brochures, and hallway signs.
REQUIREMENTS:
Minimum of High school diploma or GED equivalent and two (2) years computer related experience in current computer office technology. Associate degree in related field preferred. High proficiency in MS Office Suite, including advanced knowledge of Word, Excel (use of pivot tables, macros, etc.), familiarity with Office 365, and working knowledge of SharePoint required. Experience with data collection, tables, and tabulation, MS Publisher and similar graphics programs with good computer graphic sense and creativity required; knowledge of Adobe Photoshop a plus; and the ability to adapt to new software applications. Some secretarial/clerical support skills also required. Proficient typing/keyboarding skills. Ability to lift files or materials up to 10 lbs. each. Good overall knowledge of modern office practices, procedures, office equipment, Business English, and correct grammar preferred. Knowledge of behavioral healthcare terminology and record keeping preferred.
Excellent written and verbal communication skills and the ability to maintain a professional demeanor in communicating with staff and the general public. Strict adherence to maintaining confidentiality of clinical, financial, and/or personnel information with access only as required by job duties. Consistently present a positive image as a Center representative. Work effectively and accurately in an atmosphere of frequent interruptions, be flexible in changing job duties as required. Work independently as well as within a team, be organized and pay attention to detail. Willingness to take on new tasks as they arise. Follow chain of command. Attend meetings as required or needed. Regular attendance and adherence to work schedule. Maintain accountability for work hours/meal breaks. Consistently and accurately complete payroll hours, time, leave and flex reports, etc., in a timely manner. Work flexible hours, if needed to accommodate agency needs. Participates in supervision and training. Seeks out supervisor help as appropriate. Subject to BCI, BMV, and drug screen check clearances. E.O.E.
