The firm is seeking an Executive Operations Coordinator to join our team. This position will report directly to the Founder and Leadership Team and support day-to-day operations, office culture, and agency marketing initiatives. This individual will serve as a key point of coordination across internal teams and external partners (including Accounting, HR, IT, and other vendors), helping to ensure priorities are executed efficiently and timelines are met.
In this role, the Executive Operations Manager will help manage priorities, coordinate key meetings, and drive follow-through on critical initiatives. This individual will play an integral role in maintaining momentum across the business, supporting internal alignment, and ensuring the smooth day-to-day flow of operations and internal communications.
An ideal candidate will have an entrepreneurial and team-oriented spirit, with a strong ability to multi-task, stay organized, and proactively support a fast-paced environment. This individual must also demonstrate the ability to maintain confidentiality at all times, handling information with sensitivity, tact, and diplomacy.
**This is a new role and will be a temp-perm position with a 90-120 day trial period in order to determine if both parties are productive in the role. Additional responsibilities may be added based on experience, work load and agency needs. Compensation will be at an hourly rate for the trial period and transition to a salaried role at an agreed upon time. This is a full-time position.
ROLES & RESPONSIBILITIES
Include, but are not limited to, the following:
Direct Support of the Founder and Leadership Team
- Support the Founder and Leadership Team in day-to-day priorities, scheduling, and meeting coordination
- Attend key meetings and track action items and follow-ups
- Assist in organizing and advancing internal initiatives
- Help anticipate scheduling conflicts and proactively manage logistics
Operational Support
- Act as a point of coordination between internal teams and external vendors (HR, IT, Accounting)
- Support execution of operational processes and systems
- Assist with employee and client onboarding and offboarding processes
- Manage office operations and vendor relationships
- Identify opportunities for improved efficiency and support implementation
Office Culture
- Coordinate internal meetings, events, and team activities
- Help maintain strong internal communication across teams
- Support initiatives that enhance company culture and employee experience
Agency Marketing Support
- Assist in development of case studies, presentations, and award submissions
- Support new business materials and agency marketing initiatives
- Help maintain agency website updates
QUALIFICATIONS
- 0-1 year of relevant experience in operations, agency, or administrative roles
- Strong organizational and multitasking skills
- Excellent communication and interpersonal abilities
- Proactive, detail-oriented, and solutions-driven mindset
- Ability to maintain confidentiality and professionalism
- Proficiency in Google Workspace (Docs, Sheets, Slides); familiarity with Squarespace and design tools, such as Canva and Adobe Creative Suite is a plus
- Social media experience a plus but not a requirement
