Responsibilities
- Greet visitors warmly at the front desk, providing exceptional customer service and directing them appropriately
- Manage multi-line phone systems with professionalism, answering inquiries promptly and courteously
- Handle data entry, filing, and document proofreading to maintain accurate records and organized files
- Utilize Microsoft Office Suite and Google Workspace tools for correspondence, reports, and scheduling tasks
- Support office management activities such as calendar management, appointment setting, and supply inventory monitoring
- Assist with bookkeeping tasks using QuickBooks or similar software to track expenses and invoices
- Provide clerical support including typing, scanning documents, and maintaining filing systems
Experience
- Prior office experience or administrative support roles demonstrating strong organizational skills
- Proficiency in computer literacy including Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
- Experience with multi-line phone systems, front desk operations, and customer service excellence
- Bilingual abilities are highly preferred to assist diverse clientele effectively
- Knowledge of office management procedures such as calendar management, data entry, filing, and proofreading
- Familiarity with medical or dental receptionist duties or personal assistant experience is a plus
- Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment
