Executive Assistant and Operations Coordinator

National nonprofit | Queens, NY office | In person, approximately three days per week

This is a chance to do work that matters. A national nonprofit with an office in Queens, dedicated to improving the lives of the people and community it serves, is seeking a sharp, highly organized, and versatile Executive Assistant and Operations Coordinator to support its CEO. The work is meaningful and the pace is fast. We are looking for a professional who is energized by both.

No two days are the same. You will work closely with the CEO and alongside the team in the office, manage a wide range of commitments, take on correspondence and projects, and help keep many moving parts organized and on track. Your work will directly support the mission and the people who depend on it. There is room to grow with the organization over time.

Key responsibilities
  • Manage and prioritize the CEO's email daily, filtering what needs attention and surfacing what matters most.
  • Draft, review, and send correspondence on the CEO's behalf with professionalism and discretion.
  • Communicate with partners, vendors, and contacts in a clear and courteous manner.
  • Prepare, write, and polish documents, letters, and materials.
  • Conduct research and present clear, organized options and recommendations.
  • Work alongside team members in the office and pitch in across tasks as priorities require.
  • Prepare for meetings, programs, and events, including those held off site, and provide support on the road as needed.
  • Manage inventory and materials, and help keep supplies organized and ready.
  • Coordinate scheduling, logistics, and the timely flow of information across multiple projects.
  • Track deadlines and support the moving parts of the CEO's commitments.
  • Handle occasional errands and administrative tasks as needed to keep priorities on track.
Qualifications
  • Proven experience as an executive assistant, administrative professional, or in a comparable support role.
  • High energy and a fast pace, with strong accuracy and follow through.
  • Versatile and flexible, comfortable shifting between tasks and adapting as each day requires.
  • Excellent written and verbal communication skills.
  • Exceptional organization and the ability to manage many priorities at once.
  • A resourceful problem solver who anticipates needs and works well independently.
  • Professional, personable, and discreet, with good judgment around sensitive information.
  • Eager to learn, take direction, and grow into greater responsibility over time.
Details
  • In person at the Queens office, approximately three days per week, with occasional travel for meetings and programs.
  • Hourly rate: $30–$40, commensurate with experience.
