Responsibilities
- Greet clients, visitors, and vendors with professionalism and warmth, providing exceptional customer support at all times
- Manage multi-line phone systems, directing calls accurately and courteously using proper phone etiquette
- Handle incoming inquiries and schedule appointments efficiently using calendar management tools
- Maintain organized filing systems, including document scanning, data entry, and proofreading of legal and title documents
- Utilize office software
- Support office management duties including supply inventory, mail distribution, and general clerical support
- Assist with data entry, proofing documents for accuracy, and maintaining detailed records of transactions
Experience
- Prior office experience in a receptionist or administrative role within the legal, medical, or real estate fields is highly preferred
- Proven proficiency with computer literacy including Microsoft Office Suite, Google Workspace, and data entry skills
- Experience with multi-line phone systems and strong phone etiquette skills are essential
- Knowledge of title insurance processes or related fields such as real estate or legal support is advantageous
- Demonstrated organizational skills with the ability to manage multiple tasks efficiently in a fast-paced environment
- Previous experience in customer service roles that require excellent communication and interpersonal skills
