About the Role:
We are seeking an Event Coordinator who plays a key supporting role in the planning and execution of Clio’s portfolio of events, including awards shows, judging sessions, and industry gatherings. Working closely with senior team members, this role assists with logistics, vendor coordination, travel arrangements, and day-to-day event operations. The coordinator helps ensure all event details are organized, accurate, and executed smoothly from pre-planning through post-event wrap-up. This position also supports communication with internal teams and external partners to deliver a seamless and positive event experience. It’s an ideal opportunity for someone early in their career who is highly organized, detail-oriented, and eager to grow in event production.
Responsibilities:
Event Coordination & Support
- Support the planning and execution of Clio events, including awards shows, judging sessions, salon dinners, and thought leadership events.
- Assist program leads and senior team members with day-to-day event coordination tasks, including venue research, vendor outreach, and logistics preparation.
- Help ensure all event elements are organized and on track before, during, and after each event.
Vendor, Venue & Budget Support
- Assist in coordinating with vendors, venues, and freelancers, including gathering quotes, tracking contracts, and managing basic communications.
- Support budget tracking by maintaining spreadsheets, processing invoices, and assisting with post-event reconciliation.
Operational Coordination
- Maintain organized event documentation, timelines, and checklists using Monday.com to support smooth, real-time execution tracking
- Help track key details across multiple events, ensuring accuracy and timely updates.
- Contribute to improving internal processes, templates, and tools over time.
Stakeholder Communication
- Provide responsive, professional communication with internal teams, vendors, and external partners.
- Support outreach efforts and help ensure all stakeholders receive timely updates and information.
- Create and maintain professional presentation materials and event collateral using Google Slides and Canva
Travel & Logistics Support
- Assist with coordinating travel arrangements for jurors and staff, including flights, hotels, and itineraries.
- Help manage on-site logistics to ensure a positive and seamless experience for attendees.
Team & Organizational Support
- Assist the team in delivering sponsor activations and on-site event needs.
- Support cross-functional collaboration with internal teams, including communications and sales.
- Contribute ideas and assist with research for new event concepts and improvements.
Preferred Qualifications
- Early Career Experience: 1–3 years of experience in events, hospitality, marketing, or a related field (internships included).
- Strong Organization & Attention to Detail: Highly organized with the ability to manage multiple tasks and deadlines in a fast-paced environment.
- Communication Skills: Clear and professional written and verbal communication skills, with a collaborative mindset.
- Tech Proficiency: Proficient working knowledge of Monday.com (project tracking, automations, dashboards), Google Sheets (formulas, budget tracking, data organization), Google Slides, Google Docs, Google Drive, and Canva (event graphics, decks, and collateral) — the full Google Suite is used daily across the team
- Willingness to Learn: Eager to grow in event production, take direction, and contribute as part of a team.
- Basic Budget & Administrative Skills: Comfortable working with spreadsheets, tracking expenses, and supporting administrative processes.
- Flexibility & Travel: Willingness to travel occasionally and support on-site event execution as needed.

No Discretionary Bonus, Potential New Business Commission
- Total compensation package range: $65-$68K. Final compensation will be determined based on the candidate’s skills, experience, and job level.
Salary : $65,000 - $68,000
