The Clarendon Team at Baystate Financial is a growing retirement plan and wealth management advisory practice focused on helping organizations design and optimize their 401(k) and corporate retirement programs.

We work with privately held businesses, educational institutions, nonprofits, and organizations across a wide range of industries throughout the country. Our mission is to deliver high-touch service, strong fiduciary oversight, and thoughtful plan design as our clients scale.

We are seeking a Retirement Plan Operations Specialist who will play a key role in supporting both new business development and ongoing client service, with a clear path to grow into a Relationship Manager role over time.

Role Overview:

This is a high-impact, growth-oriented position that combines retirement plan operations with direct exposure to prospect and client interactions.

The Operations Specialist will work closely with one of the lead advisors on prospecting calls, introductory meetings, proposal preparation, and client onboarding coordination.

For the right candidate, this role is designed to develop into a Retirement Plan Relationship Manager position as experience and capabilities grow.

Key Responsibilities:

1) Prospect and New Business Support:

  • Join lead advisor on prospecting and introductory meetings
  • Take detailed and accurate case notes during calls and meetings
  • Request and coordinate proposals from recordkeepers and partners
  • Prepare and help customize client proposals and presentations
  • Track and coordinate follow-up items after prospect meetings
  • Maintain organized pipeline and CRM updates

2) Client Onboarding and Implementation:

  • Coordinate new client onboarding process
  • Serve as liaison between client, recordkeeper, and internal team
  • Manage implementation timelines and checklists
  • Help coordinate blackout notices and transition steps
  • Ensure smooth handoff from sale to ongoing service

3) Retirement Plan Operations Support:

  • Assist with ongoing client service requests
  • Help track key plan deadlines and deliverables
  • Prepare materials for client review meetings
  • Support internal workflow and process improvements
  • Maintain accurate documentation and records

Desired Experience:

Preferred but not required: Experience in financial services, retirement plans, employee benefits, or a related field.

We welcome candidates without direct industry experience who demonstrate strong organizational ability, professionalism, and a clear willingness to learn and grow.

Experience with 401(k) plans, recordkeepers, or TPAs is a plus but not required.
