POSITION OVERVIEW
Reporting to the Director of Academic Operations and Effectiveness, the Academic Operations Associate will support administrative excellence across the division of Academic Affairs and the Provost’s Office, a high-volume and complex academic environment. The Academic Operations Associate assumes a wide variety of administrative duties requiring the exercise of initiative, independent judgment, and knowledge of the College’s academic programs and organizational processes. The selected candidate must be able to troubleshoot issues and identify procedural barriers contributing to the success of various initiatives.
Under the guidance of the Director, the Academic Operations Associate will deliver consistently high quality, timely service and handle multiple tasks simultaneously. The successful candidate will serve as an ongoing resource for academic departments and programs working closely with them and within deadlines and time frames to:
Centralize and manage initial interactions with hourly instructional staff and administrative staff;
Serve as the key resource and liaison to Human Resources for new hire adjunct faculty, non-teaching adjuncts and college assistants;
Manage the collection, retention, and distribution of confidential and time-sensitive information and documents including all curriculum vitae and resumes;
Prepare and distributes all initial appointment letters and monitor the HR onboarding process through completion;
Interpret and communicate policies and procedures to various stakeholders
Serve as office manager
Maintain the office website and calendar of key operational dates and deadlines
Draft and manage division-wide communications
Develop and maintain a repository of key documents;
Supervise and schedule all part time staff
Successfully perform other related duties as assigned.
Candidates will be required to provide proof of being fully vaccinated against COVID-19 upon commencing employment. Exemption (medical or religious) requests to this requirement will be considered in accordance with applicable law. Being fully vaccinated is defined for this purpose as being at least two weeks past their final dose of an authorized COVID-19 vaccine regimen. Final candidates must be fully vaccinated as of their first day of employment.
QUALIFICATIONS
Bachelor's Degree and six years' relevant experience required.
PREFERRED QUALIFICATIONS
Outstanding organizational, interpersonal, and written/verbal communications skills
Fluency with public university procedures, and comfort with navigating and problem-solving higher education practices and challenges
Ability to work collaboratively across unit and divisional lines
Diligence and self-direction coupled with the ability to plan, execute, assess, and improve
A positive, warm and friendly attitude, characterized by sound judgement and strong work ethics
Proficiency in Windows-based software with experience with Microsoft Office Word, Excel, and PowerPoint
Familiarity with CUNYfirst or Oracle/People Soft software considered a plus.
