********************************************************************************************************************Performs intermediate administrative support work preparing and maintaining records, files, and correspondence, greeting visitors, and answering telephones. Work is performed under immediate supervision. THIS IS A PART- TIME POSITION.
- Prepares and processes correspondence, reports, and council communications.
- Answers and directs incoming calls, greets and assists visitors, performs data entry, maintains filing systems, and operates standard office equipment.
- Oversees the records retention storage area, ensures compliance with established retention schedules, and coordinates the secure destruction of expired records and materials containing personally identifiable information (PII).
- Assists in the compilation, organization, and tracking of financial data and documentation for budget preparation and monitoring.
- Monitors inventory levels, orders supplies as needed and maintains adequate stock to support daily operations.
- Performs essential duties in the absence of the Administrative Professional, including payroll processing, invoicing, and purchase order preparation.
- Adheres to all utility security policies and procedures, including those outlined in the Emergency Response Plan (ERP) and Risk and Resilience Assessment (RRA) documentation, to ensure the ongoing security and resilience of the water system's infrastructure, operations, and water quality.
- Performs other duties as assigned.

- High School diploma or GED equivalent.
- Less than one year of prior office experience performing basic administrative support functions.
- Posses and maintain a valid state of Michigan driver’s license.
- General office practices, procedures, and administrative support functions.
- Business communication practices, including professional correspondence and customer service principles.
- Microsoft Office applications and the ability to learn department-related software and hardware systems.
- Communicate effectively, both verbally and in writing, with a variety of internal and external contacts.
- Organize work, manage multiple tasks, and complete assignments accurately and concurrently.
Work Environment
Work is primarily performed in a water treatment facility environment with occasional exposure to environmental conditions. The noise level is typically moderate (e.g. business office with typing and/or computer printers, light traffic).
Physical Demands
- Frequent exertion of up to 10 pounds of force; occasionally up to 25 pounds.
- Frequent standing, walking, sitting.
- Frequent reaching with hands and arms, gross and fine manipulation, and use of computer keyboard.
- Occasionally climbing stairs, pushing, and pulling.
- Normal hearing and vision with the ability to identify and distinguish colors.
- Ability to communicate detailed instructions verbally.
