JOB TITLE: Assistant to the City Manager
SUPERVISOR: City Manager
JOB FUNCTION: The purpose of this classification is to assist the department head in the day-
to-day operations of the City in whatever capacity necessary, encompassing all aspects of City
government. Employees in this classification handle administrative details such as copying, filing,
typing, scheduling, research, and telephone answering for the City Manager.
DUTIES:
The following duties are typical for this classification. Incumbents may not perform all listed
duties and may be required to perform additional or different duties from those set forth below to
address business needs and change business practices.
- Records and manages a list of tasks and projects assigned by the City Manager to all personnel;
obtain updates on jobs/projects from department heads and other personnel.
- Schedules meetings and appointments.
- Answers the telephone and takes messages as necessary.
- Gathers and distributes memos.
- Files information in appropriate locations.
- Prepares or completes various forms, reports, correspondence, memos, and letters.
- Conducts and attends meetings.
- Receives various forms, reports, correspondence, manuals, reference materials, or other
documentation; reviews, completes, processes, forwards, or retains as appropriate.
- Operates a computer to enter, retrieve, review or modify data; verifies the accuracy of entered
data and makes corrections; utilizes word processing, spreadsheet, or other software programs.
- Communicate with supervisor, employees, other departments, the public, and other individuals
as needed to coordinate work activities, review work status, exchange information, or resolve
problems.
- Researches various projects and coordinates necessary purchases for City Manager, as needed
for the office. Maintains the inventory of supplies; orders or requisitions supplies as required;
obtain bids.
- Organizes and maintains essential files and records.
- Establishes and coordinates work priorities; prioritizes mail/memos and other input for the City
Manager.

- Secures travel arrangements for City Manager and reconciles purchase card statements for City
Manager.
- Performs other related duties as required.
MINIMUM QUALIFICATIONS
Bachelor’s degree in business administration or closely related field, supplemented by three (3) years
of previous experience and training that includes general office and governmental experience; or any
equivalent combination of education, training, and experience which provides the requisite
knowledge, skills, and abilities for this job. Must possess and maintain a valid Georgia driver’s
license.

principles for developing approaches and techniques to resolve problems.
