Position Description
The Public Works Administrative Support Specialist II-Public Works assists the Director of Public Works in coordinating the administrative activities of the Department, including providing administrative support for the Department and other City Departments, as required, and providing customer service to residents and the general public.
Scope of Impact:
The duties and responsibilities of this job are performed with latitude for independent judgment in accordance with Department and City policies, Federal, State and Local regulations and are based on detailed knowledge of Department operations. Work is subject to periodic review by the supervisor, who provides input on and approval of recommendations, and discusses assignments, priorities, and work.
Essential Functions
- Provides administrative support to the Public Works Department and other City Departments.
- Answers questions, resolves concerns, and provides information to residents and the general public via telephone, the City website, email, mail and in person;
- Staffs customer service desk and sells and rents materials and equipment to residents and the general public;
- Monitors emergency radio system and contacts Department staff as required;
- Tracks and codes invoices for purchases;
- Prepares invoices for reimbursement to City;
- Assists with special or open house events;
- Processes and assists with seasonal new hire paperwork;
- Drafts, writes and prepares schedules, letters, reports, notices, presentations, agendas and other documents;
- Compiles, reviews, analyzes and enters data, records and reports;
- Schedules and arranges meeting rooms;
- Takes and distributes minutes;
- Recommends, orders or purchases equipment, office supplies and materials;
- Coordinates maintenance and repair of office equipment;
- Conducts research on City systems and databases and County records;
- Photocopies, scans and prepares materials for distribution and/or mailings;
- Maintains files and records;
- Manages and maintains inventory of forms and documents;
- Maintains retention and destruction plan for files and documents;

Communicates courteously and professionally and maintains working relationships with others in carrying out job functions.
- Represents the Department to other City Departments, the community and the general public;
- Communicates with others relating to work assignments and progress of work or to convey information about conditions or work related needs
- Performs other duties and activities as assigned.
Qualifications
Minimum Qualifications:
The job requires a high school diploma and two years of experience in administrative support, or equivalent experience.
Desired Qualifications:
Experience in a governmental setting desirable.

- Interpersonal skills sufficient to exchange and/or convey information, receive work direction, and maintain effective working relationships.
Physical and Mental Requirements:
Physical effort is light for the majority of work with lifting or carrying limited to 25 pounds intermittently. Report preparation and writing at times requires extended use of a keyboard. Work interruptions are frequent.
Working Conditions:
Most work is performed in a normal office environment. The job may involve dealing with and calming individuals who are emotionally charged over an issue.

Vacation/Sick Leave/Holidays:
