The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills , computer skills and social media savvy to support our team and enhance overall productivity. As Office Manager, you will be the backbone of our administrative operations, fostering a welcoming atmosphere for staff and patients .
Duties
- Manage front desk operations, including greeting visitors, handling inquiries, and maintaining a professional reception area.
- Operate multi-line phone systems efficiently, directing calls and providing exceptional customer service.
- Oversee office management tasks such as filing, data entry, calendar management, and maintaining office supplies inventory.
- Utilize software tools like Microsoft Office, Google Workspace, QuickBooks, and other computer applications to support administrative functions.
- Coordinate appointments, schedule meetings, and manage calendars for staff and executives with precision.
- Handle clerical responsibilities including proofreading documents, preparing reports, and ensuring accurate data entry.
- Support bookkeeping activities such as invoicing and expense tracking while maintaining organized financial records.
- Maintain phone etiquette standards while managing customer support calls and inquiries professionally.
- Assist with social media postings and advertisment.
Qualifications
- Proven experience in office management or administrative roles with strong organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and QuickBooks accounting software.
- Excellent computer literacy with the ability to adapt quickly to new software tools.
- Strong clerical experience including filing systems, proofreading documents, data entry, and record keeping.
- Exceptional customer service skills with professional phone etiquette and interpersonal communication abilities.
- Experience with front desk operations, multi-line phone systems, and office management best practices.
- Ability to prioritize tasks effectively using time management skills in a fast-paced setting.
- Personal assistant or medical/ health care receptionist experience is a plus for supporting specialized needs within the office environment. Tuesdays. 8:00 am- 12:30 .
