- Labor Day through Memorial Day: Wednesday - Saturday, 8:30 am - 5:30 pm
- Memorial Day through Labor Day: Tuesday - Saturday, 8:30 am - 5:30 pm
- Occasional nights and weekends required as needed to support special events and on-call staffing needs.
Job Overview
The Operations Coordinator oversees the Museum’s daily operations, guest service systems, part time staff, volunteers, memberships, and facility rentals. This position supervises and supports the Shift Leads, who provide immediate floor leadership and oversee daily execution. The Operations Coordinator works across departments to ensure efficient, consistent, and welcoming Museum operations. The Operations Coordinator reports directly to the Executive Director.
Staff and Volunteer Leadership:
- Recruit, hire, onboard, schedule, and supervise part-time staff.
- Supervise and support Shift Leads in providing consistent daily leadership.
- Establish staff expectations and manage coaching, performance reviews, and disciplinary documentation.
- Coordinate staff meetings, safety training, communications, and employee recognition.
- Recruit and onboard volunteers, maintain records, and connect volunteers with appropriate departments.
Museum and Guest Operations:
- Oversee daily operations and maintain proficiency in all front desk and floor procedures.
- Establish and monitor consistent opening, closing, floor readiness, sanitation, and guest service standards.
- Respond to guest inquiries and support staff with complex or unresolved concerns. Updated August 2026
- Monitor visitor feedback and operational concerns to identify needed improvements.
- Collaborate across departments to communicate updates affecting staff and visitors.
Memberships and Rentals:
- Manage Museum memberships, member communications, PassPlay, promotions, and the Community Membership program.
- Serve as the primary contact for birthday parties and facility rentals.
- Coordinate reservations, contracts, payments, staffing, logistics, and follow-up.
- Maintain rental procedures, party supplies, and inventory.
- Work with Shift Leads to ensure consistent on site execution of parties and rentals.
Administrative Systems:
- Maintain operational procedures, training resources, and the front desk binder.
- Maintain the emergency binder in collaboration with the Facilities Coordinator.
- Update standard operating procedures, with Executive Director approval required before implementing policy changes.
- Manage guest pass tracking, operational records, and related systems.
- Track inventory and order operational supplies.
- Other duties as assigned.
Education & Experience:
- Minimum 2 years customer service and administrative experience, nonprofits preferred
- Minimum 3 years of managerial experience required
- Bachelor’s degree or commensurate experience
Preferred Qualifications:
- Strong leadership and interpersonal skills, with the ability to coach, motivate, and support staff.
- Excellent communication and conflict-resolution skills across diverse audiences, including children, families, and team members.
- Highly organized and able to prioritize effectively in a fast-paced environment.
- Sound judgment and composure in dynamic, public-facing situations.
- Proficiency with Microsoft Office, Google Workspace, and operational systems; Altru experience is a plus.
- Collaborative, accountable, receptive to feedback, and committed to the Museum’s mission and a positive workplace culture.
- Experience working with children or in youth development is a plus
